Job summary

An exciting opportunity has arisen within our friendly Pharmacy department for a part time administrator who can provide a comprehensive general administrative service to the Pharmacy department working as an integral member of the Pharmacy administration team.

The ideal candidate will have proven experience of working in a busy administrative function (minimum 2 years experience), have excellent communication skills and the ability to deliver an effective and competent level of administration within the Pharmacy Department. Candidates must possess strong organisational skills and be able to plan and prioritise their own workload with the ability to adapt to changing deadlines.

Main duties of the job

  • Provide administrative support to Trust Medicines Management Committees - liaising with the meeting chairperson and their members to facilitate timely collation and distribution of papers, transcribing of meeting minutes and chasing of actions.
  • Maintain pharmacy databases and systems in the interest of accurate record keeping - personnel records, HR letters, digital timesheets (eRoster), staff training etc.
  • Document management of key complex documents to enable adherence to robust governance processes (master templates, standard operating procedures, audit paperwork and Key Performance Indicators (KPIs) - being responsible for monitoring review dates, working with authors, making revisions and ensuring documents are cited at relevant Trust meetings to acquire necessary scrutiny, approval and final ratification.
  • Support pharmacy line managers with HR related matters by providing a confidential administrative support service, where required.
  • Support the PA to the Chief Pharmacist to ensure a comprehensive administrative support service is provided to the pharmacy senior leadership team and wider department, as required.
  • Be an approachable point of contact within the pharmacy admin team to the wider pharmacy team and organisation.
  • Complete all administrative duties for the team including typing, reports, telephone calls, data entry, filing, photocopying, arranging meetings, diary management etc. and any other tasks as required.
