Job summary
An exciting opportunity has arisen for a hardworking organised individual to join the small clerical/appointments team within Rockingham Wing Ultrasound Department.
You will enjoy a varied role supporting the Sonographers and very small admin team to deliver an excellent ultrasound service for Gynae and Obstetrics.
You will need excellent communication skills and enjoy working as part of a team within a busy department. A flexible approach to work is vital and you will have good organisational skills.
If you are successful in your application for this position your commencement date will coincide with the Trust's Induction programme held on a monthly basis.
Main duties of the job
- Be responsible for maintaining the patient record on the Radiology Information System (CRIS). This will include:
- Book patients into CRIS on attendance
- Process paperwork for patients that fail to attend for their appointment, make the necessary changes on CRIS, and inform referring clinician.
- Negotiate appointments directly with patients, either face to face or on the telephone and by letter.
- Liaise with the Superintendent, sonographers and Antenatal / Gynaecology out patients with regard to slot availability and waiting times. Ensure efficient use of appointment slots at all times, and highlight any increasing waiting lists to the Superintendent sonographer.
- Liaise with the Obstetrics & Gynaecology OPD to identify ongoing Ultrasound requirements for clinics, and plan accordingly.
- Act as the initial point of contact for all patient and GP enquiries and also initial point of contact for all patients or staff attending the Ultrasound Department.
- Monitor the daily running of the appointment lists, advising the sonographers as appropriate, of any changes, delays or information provided by patients.
- Regularly handle cash received from patients in payment for ultrasound scan pictures, and be responsible for delivering this to the cashiers' office. Complete statutory training and follow the departmental/hospital policies and standard operating procedures both general and specific to the work area.
