Job summary
An exciting opportunity has arisen for a suitably experienced full-time Administration Officer to join our busy community treatment team based at the Fairnington Centre, at Hexham General Hospital, Hexham. The post will primarily be based at this site; however, occasional cover at other local sites may be required to support service delivery.
The post holder will work alongside the Administration Team Lead, with allocated duties to support medical and clinical staff and the wider service.
Several teams are based within the building, including Adult Mental Health Services, Older Persons, and the Memory Service, as well as clinics run by other teams on a regular or occasional basis. The successful candidate will provide support across these services, working closely with administrative colleagues and multidisciplinary teams to ensure the effective day-to-day running of administrative functions.

Main duties of the job
The successful candidate must be flexible, adaptable, and able to provide support across the service as required. Ideally, the post holder will have experience in a similar environment, with previous secretarial or administrative experience. A good knowledge of Microsoft Office packages and typing qualifications/experience is essential due to the demands of the role.
The post holder will provide comprehensive administrative support to medical and clinical teams, contributing to the smooth day-to-day running of the service under the direction of the Administration Team Lead.
The role includes responding to telephone and email enquiries, managing shared inboxes, processing referrals, supporting waiting lists, arranging appointments and meetings, updating and maintaining the RiO patient information system, handling prescriptions, typing correspondence and reports (may include audio transcription), taking notes at meetings (including live typing where required), completing follow-up actions, supporting KPIs and team audits, providing reception cover as needed, processing incoming and outgoing post, ordering supplies, and reporting estates issues. The ability to use initiative, prioritise workload, maintain confidentiality, and meet deadlines is essential.
