Job summary
Candidates must be able to demonstrate proven experience in the following skills that are required for this post:
- Experience in a customer services / patient / service user focused environment
- Secretarial experience working within a team / Consultant / Manager
- Excellent communication and interpersonal skills
- Typing / keyboard skills
- Minute taking experience as attending meetings and updating action plans and core RIO documentation live on a screen is required in this role on occasions
- Diary management experience and organisational skills
- A good working knowledge of Microsoft word / excel/ office packages
- A good working knowledge of the RIO (not essential as training will be given to those who have not worked on this systems before)
- Excellent verbal and written communication skills
- Ability to be self-directed, motivated and be able to contribute positively within a team
- Experience in managing and maintaining office systems desirable
- The post holder will be expected to demonstrate flexibility in the role in order to meet the needs of the service
- The post holder must be able to demonstrate the ability to deal with possible exposure to highly distressing or highly emotional circumstances and will be expected to participate in all relevant training courses appropriate to the role
- You should currently hold the required level of qualifications, as outlined in the Essential Criteria or working towards this with equivalent experience
Main duties of the job
An opportunity has arisen to join Secure Care Services as a full time permanent Band 3 Admin Officer supporting both medical and clinical colleagues within the Service.
Applicants should have previous secretarial or office experience which is essential due to the demands of the role. This is a rewarding role within a supportive environment and opportunities for personal development throughout your career in the Trust will be explored during your appraisal. Training will be given and mentorship will be aligned to the successful candidate from the onset.
The post holder will be working alongside others within the administration team and with clinical colleagues, providing confidential and efficient administrative support with allocated duties to support the clinical staff, Consultant, and the wider administration team. A good knowledge of Microsoft packages and typing qualifications are essential for this role.
Duties include:
- Taking telephone calls and receiving visitors to the service
- Typing reports and letters
- Working out of a shared inbox
- Taking minutes at meetings such as CPA's, MDTS
- Updating patient information systems
- Maintaining diaries
- Arranging clinics
- Other duties as required.
