Job summary

An opportunity has arisen for a full-time (37.5 hours per week) permanent Band 3 administrator to join our established team in North Cumbria as an Administrative Officer. This is a North Cumbria county-wide service and therefore the base is flexible which will be discussed at interview (Penrith, Carlisle or Workington). This service is an 8am - 8pm service with the possibility of some weekend work.

The post-holder will work within the NHS North Cumbria Talking Therapies Service. The service provides evidence-based psychological therapies, as recommended by the National Institute for Health and Care excellence (NICE), for individuals with common mental health problems such as mild to moderate depression, anxiety disorders (e.g. PTSD, GAD, panic disorder, health anxiety and OCD) and mild bulimia.The successful candidate will also support the development of the North Cumbria Asylum Seekers Service which is an exciting new service. This will involve the organisation of interpreters along with other administrative duties linked to the introduction of the new team.

Main duties of the job

  • Arranging Interpeter assisted appointments, booking interpreters, arranging for correspondence to be translated into various languages.
  • Undertake a range of secretarial duties, including copy typing, arranging appointments, maintaining diaries, liaison with clients and arranging meetings and the agendas for these as required.
  • Taking telephone calls from clients/referrers/queries from other agencies and the public, inputting data into our information systems.
  • Adding referrals to our services information system.
  • Open and action postal and electronic mail as appropriate and bringing forward relevant correspondence, notes and reports as required.
  • Support during periods of high demand colleagues within the 'admin hub'
  • File documents and reports as appropriate and maintain records on behalf of the NHS North Cumbria Talking Therapies service and North Cumbria Asylum Seeker Service. Ensure confidentiality and safe custody of all records, filing all relevant documentation in correct order (manually and electronically).
  • Maintain and collate, as necessary, data for the NHS North Cumbria Talking Therapies service and North Cumbria Asylum Seeker Service with guidance from the Admin Team Supervisor.
  • Attend admin meetings and take minutes for these as required.
  • Update Service information leaflets, policies and protocols as required.
  • Be prepared to work flexibly around the operating hours of the 'admin hub'.
  • Provide day to day support to the admin team.
