Job summary

Acklam Road Hospital is a General Adolescent in-patient unit, providing assessment and treatment for young people up to the age of 18 years who have complex health, behavioural and emotional needs.

Working as part of our admin team we would like to offer the right candidate the opportunity to join our busy but friendly team within the Specialist Children and Young People's (CYPS) as a Ward Secretary/ Administration Officer. You should have previous experience of working in a secretarial role and hold excellent typing and IT skills. You will need to demonstrate excellent organisational and communication skills and show a high level of accuracy and attention to detail.

Main duties of the job

The successful candidate's main duties will be;

  • Assist the Ward Manager in the administration of staffing issues - ensuring confidential records are stored safely.
  • Organise documentation and type correspondence relating to patients meetings
  • Schedule clinics, meetings and book venues/Microsoft Teams
  • Minute taking
  • Diary management
  • Communicate efficiently and effectively to outside agencies and family members
  • Plan for and support the administration of the patient pathway under the direction of the Administration Team Lead
  • Develop and maintain office systems and admin procedures
  • To work collaboratively with the wider clinical and admin team

You will need to be and provide the following;

  • Customer / service user focused
  • Open communication with professionals on all leaves with good interpersonal skills.
  • Work with the patients information system RiO (training given to those who have not worked on this system before)
  • Work with Microsoft Word/Office packages
  • Provide verbal and written communication to professionals on all levels, internally and external agencies
  • Ability to be self-directed, motivated and be able to contribute positively within a team
  • Well organised and structured
  • Demonstrate flexibility in the role
  • Provide cover for admin colleagues
