Job summary
Applications are invited from suitably qualified and experienced candidates for an Administration Team Lead based with the ADHD/Autism Service at Keegan Court, Grassbanks, Gateshead, NE10 8DX.
This service is very busy and the postholder will be part of an admin team which supports the multi-disciplinary clinical team. You may be required to travel to support admin teams within this department based at St Nicholas Hospital (Gosforth) and St George's Hospital (Morpeth)
The post holder will provide day to day guidance to the admin team, plan leave, training, support the team with identified tasks and provide cover to other departments as well as monitoring sickness, carrying out supervisions and appraisals. Postholder will provide cover in the absence of other Admin Team Lead colleagues.
Post holder must have proven demonstrable leadership/secretarial skills including experience of supervising admin staff and ability to collate data from Dashboards and RIO (training will be given) and create reports as required. The post holder will be required to monitor performance reports, must have proven experience of diary management and taking minutes of meetings
The post holder will report directly to the Administration Manager and provide admin support to to Clinical Team Manager/clinical staff on a day to day basis.
Main duties of the job
The post holder will be able to demonstrate the ability to deal with possible exposure to highly distressing or highly emotional circumstances and will be expected to participate on all relevant training courses appropriate to the role.
The post holder will be required to co-ordinate administrative support services ensuring all systems and processes operate efficiently and accurately through a process of continuous improvement to allow smooth running of the day to day admin tasks.
The post holder will provide a proactive, comprehensive administrative service and must have proven experience of:
- Experience in a customer/patient and service user focused environment
- Diary Management
- A good understanding of the RIO system and Dashboard (training will be given if required)
- Minute taking skills
- Ability to be self-directed, motivated and be able to contribute positively within a team
- Well organised and structured
- Travel to other sites.
- Complete admin rotas.
- The post holder must be able to use own initiative, work under pressure and keep to strict deadlines
- Excellent organisational, communication and interpersonal skills, with both internal staff at all levels, referrers/service users coming into contact with the service, and external bodies pivotal to the service.
- Experience of managing and maintaining effective office systems alongside excellent knowledge of day to day use of Microsoft Office packages - particularly Outlook, Word and Excel and typing skills.
