Job summary

Corporate Resilience & Safety Administrator

This is a Permanent post 15.0 hours per week. Flexible working arrangements can be in place however the normal days of working are expected to be a Monday & Tuesday. The job is varied supporting service delivery and incident management across the Trust under the direction of the Head of Corporate Resilience & Safety with direct support to the Resilience Team who provide Emergency planning & Business Continuity and Fire Safety Team, absence cover is also provided to the Health & Safety Team.

The role provides administrative support which includes planning meetings/training and incident response, taking minutes and planning assurance meetings from key stakeholders across the Organisation.

There is an expectation that there may be the requirement to work flexible hours during an incident which may need evening or weekend working.

There is the ability to undertake flexible working following induction into the role.

Main duties of the job

  • To be the first point of contact for the Corporate Resilience & Safety Team.
  • Provide a comprehensive administration service to the Corporate Resilience & Safety Team, meeting deadlines and ensuring that work is to the highest standard.
  • Organise and service of Departmental and Trust meetings on site including video conferencing and telephone conference calls.
  • Respond to telephone calls, prioritising messages and ensuring they are dealt with effectively, courteously and with discretion. Initiate action where possible, and report as appropriate.
  • Prioritise and action daily post for the Head of Corporate Resilience & Safety and other members of the team, as appropriate. Acquire relevant background information to ensure prompt conclusion.
  • Coordinate and maintain electronic diary for the Head of Corporate Resilience & Safety; arrange meetings and appointments, ensuring that commitments and competing demands are efficiently managed and future needs anticipated for effective operation.
  • Receive complex and sensitive information in relation to incidents at work which require reporting to HSE
