Job summary
The Children's Directorate at Russells Hall Hospital is seeking to appoint 2 Medical Secretaries. These posts will provide a comprehensive Medical Secretarial service to the Consultants, Middle Grade Doctors, Clinical Nurse Specialists and supporting teams within the Children's Services Directorate. To work collaboratively with other Medical Secretary colleagues to ensure clinical correspondence is produced and distributed within designated timescales. The post holder will carry out his/her duties in such a way to make a direct positive contribution to the organisation. It is essential that the post holder should exercise initiative commensurate with the role and that confidentiality be maintained at all times.
There are 3 posts available:
2 x Full time, 37.5 hours per week
1 x Part Time, 22.5 hours per week
Main duties of the job
- Deal with new referral letters and action as appropriate
- Ensure typing of clinical letters in a timely manner
- Be the main point of contact for patients, colleagues and other healthcare professionals on behalf of your consultant/s
- Assist in the planning and organisation of clinical activity (out-patient clinics) by liaising with the appropriate members of staff within the Trust
- Assist in the collation of information for reports, for example medical reports, risk and complaint management etc.
- Planning and organising a number of conflicting tasks and priorities at the same time still meeting challenging deadlines.
- Prioritise workload independently, identifying urgency, highlighting problems and taking appropriate action to prevent or solve problems without supervision.
- Maintenance of medical records
- Maintenance of individual filing systems on behalf of the consultant and their team
- Ensure adequate tracking of medical records both in and out of department
