Job summary

We are looking for an enthusiastic and motivated person who is flexible and has excellent secretarial and communication skills. You must have the ability to work unsupervised and under pressure and be able to deal sympathetically with patients and relatives as you will be very much in the front line with the patients and their families.

Your main responsibilities will be to provide comprehensive secretarial and administrative support to consultants and their teams. Previous medical secretarial experience in breast, oncology, vascular and urology services is desirable. Audio typing skills and experience in a similar role would be highly beneficial. You will be part of a team and expected to also provide cross-cover for other secretaries as necessary to facilitate service function.

A good general education including GCSE English and Maths is required together with an excellent working knowledge of Microsoft Office packages and confident in the use of IT is essential along with good audio and keyboard skills. An AMSPAR qualification would be desirable.

Main duties of the job

To provide a comprehensive and efficient secretarial service and general administrative service to the Consultants and their teams and Specialist Nurses and their teams.

To work in close co-operation with staff, patients and other health professionals to ensure a quality of service.

To be an active and supportive member of the department's administrative and clerical team.

To act as first point of contact on behalf of the consultant and the Trust and deal effectively and courteously with all enquiries from GPs, patients and other departments within the Trust and all other departments.

To type all clinical letters, including those of a sometimes distressing or emotional nature, from shorthand, audiotape or direct dictation as agreed.

To organise and service meetings on behalf of the Consultant and the Consultants team, taking and distributing minutes as required.

To deal with all telephone calls relating to the service, ensuring patient focus is maintained and enquiries are handled in a courteous, tactful and prompt manner and respecting patient confidentiality at all times.

To prioritise and process incoming correspondence and ensure that it is dealt with promptly by the appropriate member of staff.

To ensure that investigation reports are brought to the attention of the appropriate medical team and signed off by the appropriate member of staff. Arrange for the request and/or safe onward transmissions of patient investigation reports and film to other sites where necessary.

To maintain filing systems that facilitates the effective running of the department.

To use the appropriate IT system for checking patient information and appointments. To make, reschedule and cancel appointments as appropriate.
