Interim Linen and uniform Team Leader

Job summary

The Team Leader shall be responsible to the Facilaties support Manager and shall undertake line management of staff of the Linen Team to deliver a professional service along with the Trust Laundry Contract. They will also be responsible of the management and ordering of all uniform across The Great Western Hospital and Wiltshire Health and Care. The Team Leader will also offer support in other EFM Services. As part of the EFM department, this post will also support and deputise for both the Transport Services Team Leader and Car Parking Team Leader during periods of absence.

Main duties of the job

  1. Day to day management of the Linen Team, ensuring all mandatory training and Trust needs are identified and reacted to.
  2. To complete yearly staff appraisals, monitor progress on objectives set and offer advice and support to ensure all objectives are complete.
  3. To authorise annual leave and rotas ensuring there is adequate working cover and that all official records are maintained, including time sheets, absence and leave records.
  4. To be responsible for the training of both new and existing staff, participating in training and development courses as necessary, and maintaining accurate records thereof.
  5. Ensure that the operations resources of the linen service are well managed and professionally conducted.
  6. Look into all processes of the linen team, make changes wherever beneficial; always maintaining the quality v quantity yardstick.
  7. Be fully familiar with the cost element of the linen operation - and constantly make an effort to drive these costs down.
  8. Produce and distribute monthly figures for linen use across the Trust, reporting these to both EFM Management and Financial Management.
  9. Produce cost reports for yearly reporting by ERIC (Estates Return Information Collection).
  10. Liaise and maintain a good working relationship with all ward and department heads, to help in reducing linen usage and costs across the Trust.
  11. Arrange Linen Working Group and other associated meetings, with both Trust and Supplier representatives.

  15. Regular reporting of progress against the original plan, based on measurable specifics.
  16. To promote, arrange and distribute clothing from a clothing bank initiative, to help with the patient experience within the Trust.

Uniform Management

  1. Day to day management of the uniform supplied and issued across all areas within the Trust.
  2. Sourcing alternative supply routes if necessary, liaising with suppliers with regard to cost, product information and query resolution and advising orders in accordance with the Trusts Standing Financial Instructions.
  3. Obtain uniform orders from staff members from all areas at the GWH and WHC.
  4. Raise requisitions/place orders on an Oracle system on behalf of users and seek approval from Line Managers and Directorate Heads.
  5. Check orders against the purchase order number that the right goods have been received.
  6. Contact staff members to collect uniforms or arrange delivery of items to required destination.
  7. Keep a stock record of uniform in stock and maintain a tidy stockroom.
  8. To carry out Trust uniform standard audits across all wards and departments to ensure uniform policy is being adhered to.
  9. Attend new staff inductions in the academy and attend HCA / NA inductions.
  10. To collect and analyse data relating to the Trusts Uniform Policy and report any findings to the EFM management team.
  11. Track monthly spend against performance/budgets and report to Facilaties support manager as required.

Post

  1. Day to day contact with the Post Room Team, as per PFI contract.
  2. Monitoring of franking machines and monitoring credit used on a daily basis.
  3. Raising any issues to our franking machine providers and any mail queries to Royal Mail.
