Job summary

We are looking for an enthusiastic administrator to work within our friendly team. The Hotel Services team provides cleaning, catering and waste services to the patients, visitors and staff of Chippenham Community Hospital.

Administration is an important part of the delivery of our service and along with our diligent, professional and hardworking caterers and cleaners you will be a much valued part of the team.

Main duties of the job

The job role requires an organized and self motivated individual with excellent attention to detail and good IT skills.

Supporting the Catering Service to keep accurate financial records, placing orders for goods and services and being a point of contact to our suppliers.

Job description

Job responsibilities

  • To provide full clerical support, including dealing with correspondence (physical and electronic), filing, general record keeping, minute taking and distribution, maintaining stationery stock, and dealing with incoming telephone calls, taking action as necessary.
  • Liaising with Managers, Supervisors and department staff together with staff from other departments and tenants on site.
  • Carrying out ad hoc business-related tasks and providing support and guidance to staff within the service.
  • To maintain department information systems for Catering Income and Expenditure, Meal take-up figures, Ward/provisions issues, Caf takings, Provisions expenditure.
  • To check and receipt Catering Department deliveries against orders, reconciling any discrepancies.
  • To assist in the printing and distribution of In - Patient Menus for community sites and to ensure all have up to date and adequate stock.
  • To keep records for and reconcile petty cash.
  • To keep records for and reconcile caf takings.
  • To place orders for provisions, goods and equipment, dealing directly with suppliers using the Trusts electronic ordering system.
  • Code and check invoices, and where necessary reconcile queries/discrepancies.

  • Educated to GCSE level in English and Maths or equivalent

  • NVQ Level 2 or equivalent experience
