Hours 22.5 per week (Monday - Friday - 08.00 - 12.30)

We have an exciting opportunity for an experienced Admin Assistant / Typist to join our Team.

You will be an integral part of the Unscheduled Care Secretarial Group providing an efficient administrative service to the division in support of the work of the Medical Secretary, Consultants and other Clinical Staff and the Clinical Lead to maximise patient care.

The post holder will be able to prioritise work in order to maximise the effectiveness of the service and demonstrate a high level or organisational skills.

The candidate will demonstrate a willingness to contribute to the team objectives of the Department in providing a high quality service and support as required.

Main duties of the job

  1. Ensure the electronic discharge summaries are completed and sent to the General Practitioners and copies sent to the patient of patient discharged from the 4 areas which are Shalbourne Medical Assessment Unit/Short Stay Unit/Linnet- Acute Medical Unit/Same Day Emergency Unit/Medical Expected Unit. Also, referrals to other specialties that are required are sent to the appropriate department.
  1. Update spread sheet daily for each patient discharged, when discharge summary completed and loose history send to Health Records.
  1. Ensure that all work leaving the department is of the highest quality in terms of presentation and layout and is dispatched within agreed timescales.
  1. File tests and loose histories regularly as appropriate.
  1. Learn the digital dictation system and ensure that processes are followed.
  1. Update spread sheet with out-patient investigations and checking weekly if investigations have been carried out.
  1. Updating all the units Triage Dashboard daily.
  1. Preparing the 'hot clinic' paperwork for other specialities who come to the units.

  • oGCSE level C / 4 or above in English and Maths
  • oMicrosoft Office IT packages

  • oCertificate in medical terminology
  • oEuropean Computer Driving Licence

Experience

  • oDemonstrable working knowledge of Microsoft packages - Word, Excel, etc.
  • oMaintenance of computer files
  • oProven track record within a related administrative or secretarial role
