Job summary

The role of the BSM is required to work extremely closely alongside the Executive's directorate and support on a range of duties. The role will be responsible for planning, supporting and facilitating progress of defined programmes of work on behalf of the Deputy Chief Operating Officer with a particular focus on A&E Operations and Specialist Operations. It is essential the BSM has complete knowledge and understanding of the senior teams workload and the complexities of the different areas of responsibility, so as to be able to advise, prepare and manage projects on behalf of the Deputy Chief Operating Officer, their managers and their office.

Main duties of the job

To provide high level expertise in administrative and office management to support the Deputy Chief Operating Officer in a way that is responsive to his needs and contributes to the effectiveness of his role.

To work closely with the team in the planning and delivery of work.

To ensure that appropriate support is provided to the Deputy Chief Operating Officer

Job responsibilities

Respond to or making independent decisions to re-direct designated emails that come in through the Deputy Chief Operating Officer's account.

To act in a minder role providing support to ensure readiness for meetings in impending events.

To service Deputy Chief Operating Officer meetings and sub groups as appropriate and be accountable for ensuring that all designated meetings and groups are organised and administered in a professional and timely manner.

Formulating, as applicable the agendas and organising the supporting reports and papers

To support decision making by undertaking desktop and other research providing preliminary advice/briefings/presentation/written reports for the Deputy Chief Operating Officer.

Produce reports and statistics as required, producing documents from a variety of sources and presenting the information in various formats.

Provide an input to the production of Executive documents including assistance with layout and presentation.

To assist in the drafting of operational and policy papers and to carry out detailed analyses and help assess complex situations on behalf of the Deputy Chief Operating Officer.

Participate in coordinating or leading special projects that facilitate the smooth functioning of the Deputy Chief Operating Officer office or which supports the overall performance and achievement of the Trust.

To develop a strong working network encompassing all internal and external stakeholders.

Maintain manual and computerised records including collating and presenting data; ensure the completion of necessary returns (Payroll etc.) as appropriate.
