Job summary

The East of England Ambulance Service is looking to appoint a Personal Assistant and Support Officer within the Clinical Operations Directorate on a permanent basis, for the Deputy Chief's of Clinical Operations - Emergency Operations Centres.

This will be an office based role at our Norwich HQ - there will be scope for some remote working after the induction period.

Main duties of the job

We are looking for a full-time, PA & Support Officer, extremely organised, enthusiastic and a team player, ensuring the delivery of high-quality customer service always. You will be assertive and confident but also able to display empathy and tact in sensitive situations. You naturally adapt your style and approach to different situations and people respond well to you. You can jump seamlessly from one task to another, maintaining a highly efficient and organised approach to your work whilst remaining calm under pressure.

This is an excellent opportunity to provide a professional, comprehensive, and efficient Personal Assistant service that promotes excellence. You will also be the first point of contact and will require a high level of organisational skills to be able to manage and prioritise the Deputy Chief of Clinical Operations' workload ensuring their time is well managed and supports the delivery of the Trust's strategic priorities. Additional work will be required supporting projects within the EOC.

To provide full administrative and secretarial support to the Deputy CoCO in the implementation of an efficient and responsive service required to manage the EOC. To also offer diary management to the wider Team of Service Managers, if required.

The PA & Support Officer will oversee management of proficient systems and processes that, in turn, support and provide structure to the Senior Management Team.

The post is critical in providing an intermediary role between the Deputy CoCO and their Management Team, to uphold communication and aid efficiencies and ensuring best possible use of the Deputy CoCO's time.

It is critical that the post holder can work autonomously, understanding and pulling on the support and resources within the local Team and wider Trust as appropriate.

The post holder will be required to revise schedules at short notice, making prompt revisions to plans, as appropriate, seeking out and enacting solutions for the best possible outcome.

  • Knowledge of administrative procedures, project management or information analysis.

Desirable

  • Previously worked in a similar position within the Public Sector.

  • Ability to work on own initiative and organise own workload with minimal supervision, working to tight and often changing timescales.
  • Skills for supporting project management.

Desirable

  • Ability to pull together comprehensive draft reports, data and letters, negotiating, networking and persuasive skills.
