Job summary

The post holder will be responsible for providing day-to-day administrative support to the PMO team and manager in planning, coordinating various activities and ensuring smooth running of the PMO function. The post holder will have sound knowledge of secretarial or administrative procedures and systems, some of which are non-routine and non-routine activities such as answering queries, progress chasing, task-related problem solving. The post holder will support the PMO team to ensure the meetings are coordinated and scheduled in a timely manner. The post holder will have good working knowledge on MS Office packages; to be able to support in organising virtual and in person meetings, exchange of emails and for other data processing. This includes establishing and maintaining data on office systems both on paper and electronically. The post holder will be expected to exercise a degree of judgment and analysis when handling straightforward information which is presented to them. The post holder will have support available from the PMO managers or other senior colleagues as/when required.

Main duties of the job

Diary and calendar management, meeting arrangement and coordination. Management of PMO filing systems ensuring accuracy and accessibility to provide smooth and effective support to the programme team and more widely across the Trust. Communicating effectively in verbal and written format. Producing detailed and accurate reports under the guidance of the team to ensure PMO workload is delivered effectively.

Be responsible for regularly updating the data by processing the information received from the end users and other stakeholders. 1.4. To type and transcribe formal minutes at the request of the manager during meetings. 2. Communications and Stakeholder Engagement 2.1. To prioritise own workload and ensure that work is completed within agreed timescales. 4.3. To analyse and make judgments on routine/process-oriented tasks. 4.4. To plan and organise straightforward activities which may require a certain degree of judgment and analysis to alter formulation adjustments to such meeting. 5. Resource Management 5.1. The post holder is not responsible for managing other staff; however, they will be expected to occasionally demonstrate their current work activities to new or less experienced employees within their own discipline. 5.2. The post holder will be expected to maintain all stationery and office supplies as and when required. 6. Working Conditions and Additional Information ( Role Specific) 6.1. The post holder will be working under office conditions; however, they might occasionally be exposed to indirect unpleasant conditions based on area of work.
