Job summary
Carry out a range of administrative tasks supporting the efficient day to day running of the Trust's education and training services
Meet and greet course delegates at Hellesdon training facilities, providing reception duties as required
Support Trainers, facilitators with the training room facilities and IT queries as needed at Hellesdon Training Rooms
Main duties of the job
Provide administrative support to the wider Education & Development team in order that they can deliver an efficient service to all customers
Use organisational skills to ensure that administrative tasks are completed in a timely and effective manner, managing time efficiently
Main point of contact for staff through the Education & Development email and phone calls, triaging and responding to queries and questions raised.
Recognising trends in enquiries received, offering ideas and suggestions for improvement
Set up new courses, offerings and classes on the Electronic Staff Record system (ESR)
Run reports on ESR, including low numbers for upcoming courses and e-learning course reports
Inform course delegates of course cancellations or amendments in a polite and timely way
Take and process formal minutes as required
Communicate effectively with staff, service users and other stakeholders in person, on the telephone, via email and on Microsoft Teams.
Assist in the funded Training Request process which includes updating the Finance spreadsheet and informing staff of the outcome
Be a requisitioner for the Trust Procurement system
Assist in maintaining the Trust Education and Development intranet pages
Provide reception duties when required and assist with setting up training rooms
