Job summary
The post holder will work as part of the Medical Education Team, providing a range of administrative support for Foundation, Core and Specialty Doctors in Training. Working collaboratively with the Team, they will ensure that all aspects of training administration for Medical Inductions and Educational Programmes are carried out to a very high standard. The post holder will also be required to develop the role and alter its scope as appropriate.
Main duties of the job
- Ensure attendance recording Specialty / Core and Trainee and Medical Student Induction Programmes; completion of required modules and feedback / evaluations tools are completed to monitor compliance. Prepare all correspondence as required.
- Liaise with the Clinical Systems Trainers within the Trust to organise clinical systems training sessions for all Trainees i.e. Lorenzo system.
- Liaise with all colleagues who will provide a valuable contribution to the Doctors in Training and Medical Student Induction Programmes and Rotations.
- Data inputting of study leave, entitlements, application processes and answering any training and education queries.
- Liaise with the GPST Administrator and the Training Programme Director for Primary Care and the GP Educator in support of GPST Trainees as required to support their curriculum.
- Co-ordinate meetings and taking minutes as and when required..
- General Office / Education Centre duties and support to the Medical Education Manager as required.
- Attend meetings via MS Teams and on-site meetings pertaining to the role and as and when required.
- Support with maintaining the Trust website and intranet, ensuring data is current and accurate.

KNOWLEDGE AND SKILLS
- Advertise, market, and promote departmental / local Teaching sessions to promote excellent uptake and attendance levels.
- Data inputting teaching of attendance / training session information required for Trainee Doctors within the Trust, running reports as required.
- Record Mandatory Training modules for Doctors in Training and chase outstanding modules accordingly.
- Record all Doctors in Training related sick leave types on ESR in real time to ensure the Lead Employer is kept up to date and requesting the appropriate paperwork to be completed.
- Prepare correspondence and training materials related to PGME and UGME teaching courses and programmes.
- Work collaboratively with Educational Supervisors (Consultant and SAS Workforce) to monitor and record attendance of Doctors in Training in all clinical and classroom-based training activities and to investigate non-attendance.
- Ensure that room booking requests, course application forms, data entry of attendees on all courses are completed within Service time scales as and when required.
- Receive, assist and screen visitors / callers courteously and relay oral and written messages promptly and accurately and take appropriate action when required.
- Engage responsibly and professionally to all email notifications and to ensure prompt responses and resolution as and when required and to ensure robust escalation when needed.
- Draft business communications as and when required.
- Proficient and effective use of relevant Micrsosoft Office packages as pertain to the key tasks and duties of the role.
- To ensure skills are up-to-date and relevant to the role, to follow relevant Trust policies and professional codes and to maintain knowledge of current issues involving the Trainee Workforce / GMC as a requirement of the role.
- To undertake such duties as may be required from time to time as are consistent with the responsibilities of the grade and the needs of the service.
EFFORT AND ENVIRONMENT
- Occasional setting up of rooms and moving of furniture.
- The work pattern may be unpredictable with conflicting priorities, therefore prioritising tasks is essential for this role.
- The post holder may on occasion have to deal with Doctors in Training and Medical Students coming into the office distressed or traumatised therefore a compassionate and empathetic approach is required with some understanding of pastoral support.
- This post requires sitting at a desk using a PC for lengthy periods of time.
