Job summary

Sexual & reproductive Health is looking for a support medical secretary to assist in the day to day running of the service.

The postholder will provide a comprehensive and efficient secretarial service to the Consultant and other Medical staff in the Integrated Sexual Health Service. The secretary will provide an efficient channel of communication between the service and other medical staff, GPs, patients, other departments and disciplines within the service.

Main duties of the job

  • To manage and prioritise own workload.
  • Acting independently, using own initiative and prioritising workload, will exercise independent judgement and initiative when resolving problems.
  • Organise and maintain diary using own initiative when booking appointments for Consultant, ensuring appropriate staff are informed of clinic closures.
  • Prioritise all typing requirements including, copy typing, audio typing and shorthand to meet service key performance indicators.
  • Undertake administrative work that arises from specialist clinics, for example HIV, GD, SD and complex Family Planning.
  • Deal with all HIV patient queries regarding the home delivery service expediting deliveries with the supplier as required.
  • Prepare unsupervised a variety of presentations
  • Be proactive in highlighting deadlines and chasing responses on behalf of Consultant and their clinical team
  • Scan all documents and attach to EPR
  • Active time management - managing task and to do list and gathering information as appropriate
  • Taking minutes of all senior management meetings, organise and distribute agenda's. Making sure all minutes are sent out by email to all relevant staff members.
  • Administration of departmental mail.
  • Assist with surveys/enter all responses.
  • Book appropriate venues and make all necessary catering arrangements for conferences and courses.
  • Cover the administrator telephones whennot in work.
  • Cover for ordering on integra in absence of administrator & office manager

We are a multidisciplinary service, running out patient clinics at Crompton Health Centre. The administrative team play an integral role within the service, providing communication networks between the team and liaising with patients who can be distressed.
