An exciting opportunity has arisen to support the Eye Ward RI
The post holder will provide a wide range of administrative and clerical duties to the ward / unit staff. They will be responsible for the safe keeping and availability of all clinical records relating to patients and the smooth running of the ward / Casualty clinic/department office. They will also provide general assistance to the ward / unit staff.
Main duties of the job
Supports the Unit Manager across the whole range of their duties and deals with all enquiries to include those of a sensitive or confidential nature; making decisions requiring persuasive skills where agreement and co-operation is required.
Opens and reviews correspondence prioritising and as appropriate allocating responsibility of response to the appropriate member of staff.
Provides, receives and manages information electronically, verbally or in writing which may be of a confidential or sensitive nature, which may involve individual, staff or patient matters or matters of commercial confidence. Carries out typing of correspondence, reports, agendas and minutes and preparing the necessary papers for meetings. This will include ensuring that all correspondence is answered promptly.
Responsible for monitoring and managing email traffic from emergency referrals system, prioritising and highlighting matters requiring urgent attention or responding as appropriate.
Establishes and maintains filing systems (including electronic), ensuring that all information, records, minutes and any other correspondence, is kept in a logical sequence so that it is easily retrievable, and confidentiality is maintained.
