Job summary
The department is responsible for managing a broad range of medico-legal matters affecting the Trust. We have a team of experienced specialist lawyers handling claims and inquests, providing in-house legal advice and supporting training to staff and to student doctors at the University of East Anglia. In addition, the team has many other administrative functions such as processing Subject Access Requests from third parties for medical records, Freedom of Information Act requests, providing administrative support to the Trust Board and its Sub-Committee meetings.
Main duties of the job
Working as an integral part of the Legal Services Team ensuring that claims, inquests and requests for inhouse legal advice are registered and acted upon in a timely manner in accordance with relevant guidelines and policies; working unsupervised and able to take decisions using experience and knowledge.
As part of this role you will be required to:
- Provide a comprehensive administrative, secretarial and IT service of the highest quality to lawyers.
- Act as a first point of contact for telephone/email enquiries from departments, Consultants and other senior staff, solicitors and other legal personnel and patients.
- Collate medical records and documentation from electronic and hard copy sources and prepare for disclosure in accordance with the relevant SOP.
- Work collaboratively with team members to ensure accurate data recording and production of reports and documents as requested.

- Provide secretarial and administrative support of the highest quality to lawyers in the Legal Services Department recognising the implications of error in the production of legal documents and the consequent requirement for accuracy and reliability;
- Assist in the preparation and revision of lengthy policy documents, contracts and Service Level Agreements for Trust-wide application;
- Register new matters, log and enter relevant information into the designated databases;
- Assist in the expert preparation of PowerPoint lectures and other presentations as required;
- Liaise with the Finance Department to requisition and process payments relating to claims after authorisation by Company Secretary;
- Act as an administrative liaison where required with H M Coroner and other external bodies, including NHS Resolution (NHSR);
- Undertake some preliminary analysis of claims by cross-checking against relevant databases and retrieving relevant documentation e.g. occupational health or personnel files, medical records and incident reports in preparation for further assessment by lawyers;
- Undertake initial prioritising of incoming correspondence having particular regard to Court documents which require urgent attention referring matters to senior colleagues as indicated and required;
- Collate and prepare figures for Board Reports, monthly and other ad hoc reports as requested, creating graphs and charts using Microsoft office applications;
