Job summary

An exciting opportunity has arisen to be part of the Complex Health hub, who enable collaborative working between the following teams to ensure patients with complex needs receive all the support they need through a single pathway while accessing our services: Substance misuse, Learning disabilities, safeguarding, dementia and mental health.

Main duties of the job

The post holder will be required to help with the day to day running of a busy office and provide clerical support to a team of health care professionals.

The teams require support:

  • Act as the first point of contact for enquiries, signposted to staff members within the Safeguarding team and Complex Health hub when appropriate and to resolve simple queries as agreed
  • Recording safeguarding enquiries speedily and accurately
  • Managing email inboxes
  • Telephone queries
  • Data entry
  • Receipting and requesting notes
  • Room bookings
  • Arranging multidisciplinary meetings
  • Minute taking
  • Ensure distribution of safeguarding information throughout the trust
  • General office and admin tasks

You will be an experienced administrator, highly motivated with a flexible approach to work with clear and effective communication skills. Being able to prioritise and manage your own workload is essential. There will be a degree of autonomous working. Job responsibilities

  • To act as the first point of contact for enquiries, signpost to staff members within the Safeguarding team and Complex Health hub when appropriate and to resolve simple queries as agreed with the Safeguarding team and Complex Health hub.
  • Manage mailboxes.
  • To be responsible for Organising and supporting meetings including minute taking if necessary.
  • Monitor and respond to telephone queries providing a point of contact for the Safeguarding team and Complex Health hub, ensuring a professional service is provided in all dealing with staff, service users, stakeholders and the public. Dealing with requests in a confident and professional manner using judgement to resolve calls, often which are highly sensitive and confidential.
  • Receipt and request notes for the Safeguarding team and Complex Health hub
  • Ensuring the Patient Tracker spreadsheets are up to date and all safeguarding enquiries are recorded speedily and accurately.
  • The collection and interpretation of comprehensive and accurate data for the Safeguarding team and Complex Health hub.
  • Liaise on behalf of the Safeguarding team and Complex Health Hub with other departments to share and resolve queries and to distribute Safeguarding information throughout the Trust and externally as required
  • Manage data and information to assist the Safeguarding team and Complex Health hub in sustaining the work of the team, which will contribute to the overall improvement of Complex Health hub across the whole Organisation. Extraction of data from PAS,ICE, and SystmOne
  • Respond to ad-hoc requests from the team for information related to quality and improvement schemes within the Complex Health hub.
