Fixed term contract/secondment opportunity for 15 months

An exciting opportunity has arisen for a conscientious, enthusiastic, highly motivated and organised Receptionist/Administrator to join the Norfolk and Waveney Urology Service. Urology is a busy and innovative specialty which treats problems of the urinary system and the genitourinary tract. This is a 15 month fixed term position and will be based in our Norfolk Physiology Unit working alongside the Continence Specialist Nursing Team within the Urology Department.

Main duties of the job

The successful candidate will have a methodical approach to work, be extremely well organised & have a flexible attitude incorporating our Trust PRIDE values. Good communication skills are essential to this post. The successful candidate must be able to work in a team & independently.

The candidate will be responsible for supporting the Urology Continence Service & the coordination of outpatient bookings whilst also providing reception cover in the Norfolk Physiology Unit when required.

The candidate will be the first point of contact for all appointment bookings and liaise with the relevant clinicians as appropriate. It will be the responsibility of the administrator to ensure the correct & timely input of patient information onto the Patient Administration System (PAS), observing the rules of 'real time data entry'.

The reception aspect is an essential part of the clerical & admin support for the department & will include meeting and greeting patients on arrival to the department, answering telephone enquiries, creating, amending & outcoming appointments. This role includes a range of administrative duties using Trust systems to record & maintain patient records. Good IT skills in addition to the willingness & commitment to learn multiple Trust IT systems are necessary.

All aspects of this role should be carried out in line with Trust Policies & Procedures on data collection and confidentiality. Confidentiality in all matters is of the utmost importance.

  • To ensure patients safety and well-being in the waiting area prior to them being called for their appointment and alerting appropriate staff to any cause for concern.
  • To keep a log of telephone requests for investigations in line with department policy, prioritising these and ensuring messages are conveyed to the appropriate technical staff.
  • To ensure appointment lists are maintained and prepared in readiness for clinical work.
  • To obtain and prepare notes in readiness for clinics, investigations or at the request of staff within the department.
  • To maintain a record of the transfer of notes to and from the department.
  • To understand the 18 Week Pathway, input the correct RTT codes and validate the patient pathway where appropriate.
  • To liaise with Secretaries and other departments within the Trust as necessary to ensure case notes, X-rays and referrals are available for every patient attending an outpatient clinic. Liaise with external stakeholders to obtain referrals if necessary.
  • To ensure notes are prepared correctly for clinic with a front sheet and set of labels in each set. Ensure each set of case notes and X-Rays are tracked into the department.
