The HR Operations team at the Norfolk and Norwich University Hospitals NHS Foundation Trust provides a centralised HR service, which offers support, guidance and advice to all managers and staff.

The HR Assistant role involves working as a key member of our very friendly and supportive Central HR Operations Team, providing administrative support to the HR Secretary, HR Operations and Business Partner Teams. This role will provide valuable experience working within a busy HR department.
Full time: 37.5 hours per week

Main duties of the job
We are looking for an enthusiastic and proactive colleague who shares our values to join our team.
You will be an experienced administrator, have a professional, customer-centered approach and be a confident communicator with excellent interpersonal skills. The HR team handle a high volume of enquiries and you will demonstrate initiative and the ability to prioritise your workload effectively.
The main responsibilities involve answering a range of calls and email enquiries from managers and staff to the HR Support Desk and responding to these in line with our organisational policies. You will also have responsibility for the administration of processes relating to job evaluation and attendance to ensure a timely service to managers across the hospital. Other tasks include the provision of employment references, typing notes from meetings and a range of ad hoc tasks and project support.

- Communicate information to a wide range of staff and managers at all levels of the organisation through the answering of telephone and email enquiries e.g. signposting managers and staff to relevant policy information in relation to terms and conditions of employment.
- Support the Central HR Operations Team through participating in the HR Support Desk roster. This involves answering queries in relation to employment matters from both managers and employees (and some external customers) by email/electronic media and telephone.
- Prepare letters, policies and notes of meetings to communicate a variety of issues including those of a sensitive and complex nature, e.g. redeployment, sickness, personal staff matters.
- Provide administrative support to ensure timely information is available to managers across a range of HR matters, e.g. sickness absence, job evaluation and employee casework as required.
- Provide full administrative support for the job evaluation process, ensuring accurate records are maintained of roles requiring review, their allocation to progress this, the arranging of job panels as required and communication of outcomes. Participate in job evaluation as a panel member.
- Prepare reports and access confidential personnel and payroll data systems in accordance with departmental and Trust Policies. Provide general administrative support by way of note taking, dealing with incoming post, provision of employment references and other ad hoc administration support to the HR team.
