Job summary

The Endocrinology & Diabetes department isa dynamic area which is expanding to meet popular demand. The department supports a full range of specialist and general clinical services.

We are looking for an enthusiastic, motivated individual to join the admin & clerical team in the Department of Endocrinology and Diabetes. The department works closely with the Clinical Investigation Unit, the Elsie Bertram Diabetes Centre and Eye Screening.

We currently run our reception service from 8am - 6pm, Monday to Friday, with one evening shift a month till 8pm. Future clinic times may change and evening and weekend cover would then be needed.

This post is for 18.25 hours per week which will typically be covered over 2 days, with one or more of those days working until 6pm, but there will be a need to be flexible to cover other days if needed and the successful candidate will need to be available to cover the monthly Tuesday 8pm shift on a rotational basis and be aware that if clinic services change to weekends there may be a requirement to cover other late evenings and weekends in the future.

Typical working pattern:Monday - 8am-6pm (30 mins break)Tuesday - 8am-5.45pm (60 mins break)

On the first Tuesday of the month you will be required to work until 8pm 4 times a year, rotating with other team members.

Main duties of the job

We're looking to recruit a motivated and diligent Receptionist to support our busy, friendly Diabetes & Endocrinology team.This is an exciting opportunity for the right person to join our admin team as a Receptionist, acting as a point of contact for outpatient bookings and telephone queries in the Elsie Bertram Diabetes Centre. Key responsibilities will include reception duties, preparing clinics, data input, supporting Diamond (a Diabetes clinical system), helping maintain waiting lists and booking appointments. You will be able to work as part of a team using your own initiative where necessary to help manage the day-to-day running of administrative clinical responsibilities. You will need strong communication skills, experience dealing with members of the public along with an excellent telephone manner. You will be flexible, have a friendly demeanour with a positive attitude.

  • To carry out receptionist duties, including prioritising and arranging appointments and maintaining the various appointment systems, identifying test requests and investigations, and co-ordinating the various clinics within the department.
  • To deal with patients and external and internal staff enquiries in person or via the telephone, in a courteous and confidential manner and provide assistance as required.
  • To ensure patients safety and well-being in the waiting area prior to them being called for their appointment and alerting appropriate staff to any cause for concern.
  • To keep a log of telephone requests for investigations in line with department policy, prioritising these and ensuring messages are conveyed to the appropriate technical staff.
  • To ensure appointment lists are maintained and prepared in readiness for clinical work.
  • To obtain and prepare notes in readiness for clinics, investigations or at the request of staff within the department.
  • To maintain a record of the transfer of notes to and from the department.
  • To understand the 18 Week Pathway, input the correct RTT codes and validate the patient pathway where appropriate.
  • To liaise with Secretaries and other departments within the Trust as necessary to ensure case notes, X-rays and referrals are available for every patient attending an outpatient clinic. Liaise with external stakeholders to obtain referrals if necessary.
