Job summary

Outpatient Booking Services is based at Rouen Road, where the staff are extremely friendly and welcoming but work in a very busy office environment. Progression in the department is available and full training is supplied.

Part time: 30 hours per week

Main duties of the job

You will be recording and updating outpatient clinic referrals received by GP's, Dentist and Opticians etc, where these referrals are unable to come through via the e-RS route. These referrals will also need to be uploaded onto our Outpatient Referral Console system in order for consultants to be able to triage the referrals electronically.

Job description

Job responsibilities

  • Ensure all new referrals are recorded within the timeframe set
  • Ensure letters are sent out for patients appointments once initiated by users, by processing through the departments envelope/inserter machine ensuring all attachments are included
  • Opening and checking incoming mail and updating PAS as necessary, distributing and re-directing through the appropriate channels, e.g. Outpatient Referral Console or mailboxes
  • Access SCR & NHS Open Spine Portal identifying correct details and update PAS accordingly
  • Registering new patients who have no documentation, and prepare appropriate Health Record case note folder/labels
  • Ensure all new registrations are tracked on PAS to the Health Records Library, unless an appointment is pending within 48 hours, whereby track to appropriate destination
  • Answering telephones and dealing with appropriate requests or queries
  • The post holder will ensure that any data created, edited, used, or recorded on Trust databases within their area of responsibility is accurate and recorded with Trust Policy timescales in order to maintain the highest standards of data quality within the statutory and regulatory framework.
  • Action other clerical duties, which may be necessary to ensure the smooth functioning of the department
  • Add referrals to the Outpatient Referral Console system for the consultants to accept or reject, for those specialities not currently using the console system, scan and send referrals via relevant mailbox facilities
