  • This role is pivotal in supporting the workforce information to ensure the accurate and timely management of workforce information, maintaining and managing the workforce information teams email ticketing systems, and maintaining workforce data quality.
  • You will provide central administration services, including collating and inputting workforce data and producing standard reports. You will also be responsible for ensuring data quality within the Electronic Staff Record system.
  • Your role will involve daily administrative duties, responding to the department's dynamic priorities, and ensuring adherence to confidentiality and statutory requirements. You will be the first point of contact for all enquiries to the Workforce Information team, providing excellent customer service and resolving issues promptly.

Main duties of the job

The Workforce Information Assistant will play a key role in maintaining and managing the ESR Support and Workforce Information email ticketing system.

  • Support the data quality of all information held on the computerised payroll and personnel information system, namely Electronic Staff Records (in support of accurate and consistent records and reporting).
  • Support the Workforce Information Team where required in the usage of the Electronic Staff Records system, as well as provide administration and training support.
  • Assist in running monthly reports using the Business Intelligence Administration reporting tool within ESR by following standard operating procedure guides.
  • Ensure appropriate procedures are adhered to ensuring confidentiality of data in accordance with relevant statutory requirements and the requirements of the Trust.

  • Interact and communicate with all levels of staff who have concerns or queries. Deal with enquiries from managers, staff or colleagues via email, telephone or letter in a professional and timely manner.
  • Manage the ESR and Workforce Information email ticketing system and prioritise in order of urgency and subject.
  • Identify data quality issues (timeliness, accuracy, validity, completeness etc.) and escalate if required or correct in line with Trust policies and procedures, best practice and national requirements.
  • Liaise with various departments e.g. HR, Recruitment, Learning & Development and Divisional management to support and strengthen data quality.
  • To become a system Super-User in the operation of ESR, and able run standard reports on Business Intelligence report writing.
  • To develop a thorough knowledge of ESR and its structure and build a good understanding of the payroll processes, pay scales, grades and timetables.
  • Produce and distribute ad hoc and standard workforce reports, ensuring the accuracy of all information provided.
  • Provide and receive information in both standard as well as complex format.
  • Provide ESR system administrator support to ESR users. Setting up users, amending URP details, and re-setting passwords as required.
  • Assist in compiling responses to HR Freedom of Information requests.
  • Participate in personal training and development including the appraisal process.
  • Contribute to the continuous professional development of the Workforce Team and HR function.
  • Understand and work to the boundaries of confidentiality within the work process and the principles of the Data Protection Act.
  • Data input onto the ESR system.
