Main duties of the job

This role will be responsible for all aspects of pastoral care for internationally recruited nurses across the Trust: providing support during the recruitment process, arrival in the UK and until they are completely settled in the workforce. You will offer administrative, emotional and practical support and you will need to balance 'being there' for nurses but at the same time helping nurses to build their resilience and their own sustainable support networks.

You will also be responsible for assisting with accommodation provision for nurses and building relationships with local accommodation providers. You will play a key role in ensuring that GEH adheres to ethical standards for international recruitment

We have developed a successful INRP programme here at GEH, creating a new dedicated INR team. We are recruiting to an additional post of Pastoral Support Officer to further enhance the support provided for the transition and adaptation of our internationally recruited nurses, into their role at George Eliot Hospital and a new life in the UK.

You will act as point of contact for new international nurses providing pastoral support and guidance prior to and following their arrival to the UK. Welcoming newly arrived nurses and arranging transfer to accommodation and providing a welcome package. You will work as part of a team supporting new staff to undertake registration processes required on arrival to UK including gaining access to a UK bank account, NI number, GP services, accommodation etc. as well as induction and orientation to the Trust and local community.

We are looking for a person who has a passion for helping people, excellent communication skills, good IT skills, ability to maintain records and databases, ability to work independently with flexibility in their approach, good problem-solving skills and decision making ability who is essentially a team player. Previous NHS experience is not required.

Pastoral Care

  • Act as main point of contact with international nurses prior to arrival to the UK, supporting the recruitment and operational teams to manage and respond to enquiries during the recruitment and onboarding process.
  • Welcome candidates on arrival to Nuneaton or UK airports if needed and accompany/meet them at their designated arrival accommodation.
  • Arrange refreshments/food and transport as indicated for the initial arrival period.
  • Arrange a meet and greet with key stakeholders including the Chief Nurse.
  • Organise face to face and virtual events when required.
  • Orientate internationally recruited nurses to their Line Manager, wards, the hospital, and community.
  • Undertake well-being checks of International Nurses within their working areas.
  • Signpost to local amenities and services.
  • Advise on George Eliot Hospital NHS Trusts facilities and benefits.
  • Support internationally recruited Nurses with networking locally and regionally.
  • Support the local on-boarding programme for the recruitment of International Nurses which will include designing and distributing welcome packs.
  • Support new nurses to undertake registration processes required on arrival to the UK including gaining access to a UK bank account, National Insurance numbers, GP services and Biometric Residency permit (BRP).
  • To work closely with the Resourcing Team to understand recruitment requirements and legislation for International Recruitment.
  • Develop effective communication and relationships with the candidates, ensuring they feel well supported and welcomed into the Trust.
  • To support International Nurses with the transition demonstrating empathy and reassurance whilst considering any barriers to understanding.
  • Work with the Engagement team to ensure international candidates are linked into local Trust and community network groups.
  • Utilise a range of digital communication methods such as WhatsApp and Microsoft Teams.
  • To support, resolve or escalate any concerns raised by International Nurses.
  • To attend all relevant meetings and deputise for Senior colleagues as required.

Onboarding and Embedding

  • To identify, plan and deliver agreed outcomes in relation to the onboarding of a new colleague, supporting their overall employee experience.
  • To produce, analyse and present detailed reports on the progress of projects as required internal and external.
  • To resolve concerns / issues when raised at any stage of the onboarding process or whilst in the Induction period, seeking guidance from experienced / senior members of the team as appropriate.
  • Contribute to regular key meetings as required, providing international recruitment/campaign updates and address any issues.
  • Implement and maintain efficient administration support to optimise standards of service. This will require preparation of correspondence and reports for approval; effective time management, ensuring appropriate and timely communication with all relevant personnel; arranging meetings/events and proactively ensuring action points are raised and completed.
  • Support the process for financial reclaim of costs incurred by the candidates reimbursed by the Trust.
  • To support and participate in discussions around International Nurse workforce planning including having an understanding of impact on the Trust/Directorates.
  • To work closely with the Payroll and Pensions and Systems Manager to understand the payroll process, payslips in order to support International Nurses.
  • To create and maintain a database to monitor overall International Nurse transition and embedding within the Trust and support the Resourcing Team where required in updating databases i.e. start dates.
  • To lead and implement individual cohort feedback sessions of International Nurses and support with implementing improvements to current Trust processes
  • To undertake surveys/audits on a quarterly basis to demonstrate the impact of International Nurses across the Trust i.e Directorate establishment, impact on agency usage/ cost etc. This will include ad hoc requests.

  • Act as a point of contact with the preferred recruitment agencies for day-to-day activity and enquiries.
  • Communicate with the preferred recruitment agencies regarding potential candidates, collate candidate profiles for review and communicate results for communication to the
