Job summary

The purpose of this role is to provide a comprehensive secretarial and personal assistant (PA) services to the Acute Medicine Consultants, as well as support for the Acute and Emergency Directorate within the Medical Division. Responsibilities include assisting consultants and their team, typing clinical correspondence and reports using digital systems and performing a variety of general administrative duties.

The role also involves managing radiology reports for patients admitted to AMU, working closely with the AMU consultants to escalate reports as needed and updating consultant reports.

Main duties of the job

  • To provide a comprehensive secretarial service to consultants, visiting consultants, junior medical doctors and clinical nurse specialists.
  • To ensure all referrals are actioned in a timely manner, e.g. TIA clinics.
  • Type clinic letters, medical reports and general correspondence, using digital dictation and transcribe, ensuring workload is prioritised, produced in a timely manner and to an agreed standard.
  • Organise meetings, agendas, venues, take minutes as required, book Reps for education sessions and keep records of such, ensuring team are fully aware of such meetings.
  • Monitor Consultants weekly diary, electronic and departmental wall planner showing study leave and annual leave of all team members.
  • Liaise with other hospitals to whom patients are referred for investigation or treatment ensuring all relevant documentation is sent/received, and that patients are added to the waiting list for treatment as appropriate.
