Job summary

We have an opportunity for a Resourcing Administrator to join our dedicated Resourcing Team based at New Cross Hospital.

This role will involve liaising closely with recruiting managers to provide them with support and advice relating to the recruitment process and the use of the online recruitment system, Trac.

A key part of this role will also include ensuring the recruitment process is as efficient as possible for candidates and managers contacting them regularly via email and telephone

Main duties of the job

You will be responsible for ensuring recruitment activity meets the NHS pre-employment standards. If you have previous knowledge or experience of this, that would be advantageous. However full training of NHS recruitment standards will be provided.The role will involve supporting recruitment events based at the trust and off site which may include evening and Saturday working. The Resourcing Team work on a weekly rota (office and homeworking) which may change at short notice dependent on the needs of the service.

The post holder will possess excellent keyboard skills and have experience in dealing with a high volume of administration. The ideal candidate will require excellent customer service skills, developing strong working relationships with service users. You will also be able to demonstrate good time management skills, attention to detail and the ability to work well under pressure with strict deadlines and KPI's. Most of all, you will display a commitment to providing an excellent recruitment service to the managers and applicants to the Trust.

Job responsibilities

To act as 1st line support triaging and answering incoming telephone calls and email (Trac and general mailbox) enquiries, ensuring they are dealt with in an professional and timely manner.

Ensure that all applicants are recruited in line with the Trusts Recruitment and Selection Policy, NHS Employers guidelines, good practice and legislation.

Provide a proactive recruitment service via Trust applicant management system adhering to KPIs.

Verify required all pre-employment checks electronically and or via face to face interviews.

Provide weekly status updates to both managers and successful candidates on the progress of all pre-employment checks and recruitment status.

Ensure all stages of the recruitment process (shortlisting, interviews and pre-employment checks, upload to ESR) are undertaken in line with KPIs and Standard Operating Procedures.

Ensure all recruitment documentation is downloaded and personal file created.

Prioritise effectively and organise own workload.

Ensure correct authorised signatory is obtained for appointment and commencement in post

Demonstrate excellence in customer care.

Proactively drive the resourcing process to ensure the length of time taken to recruit is minimised

Ensure ESR, TRAC, NHS jobs and relevant HR systems are kept up to date with information

Ensure pre-IAT is completed for all new starters from other NHS Trusts.

Maintain up to date knowledge of the Trusts Recruitment and Selection Policy and Procedure, NHS Employment standards, NHS national terms and Conditions of Employment and best proactive.

Ensure all documentation and all data is managed in accordance with GDPR.

Demonstrate tact and empathy during difficult conversation, for example, in relation to sensitive DBS issues or references.

Proactively challenge irregularities and escalate to the Assistant Resourcing Lead or Resourcing Manager.

Participate in promotional activity and recruitment events.

Escalate to the Assistant Resourcing Lead any issues affecting the usual employment service administration service provision.

Actively participate in the development of the Resourcing function including contribution to effective communication across the sectors of the HR.

Promote equal opportunities and equity across the Trust.

To maintain communication between the Heads of Nursing, Matrons, Ward Sisters and Department Managers and Temporary Staffing Team, with regard to efficient staffing of their ward/department area.

Respond appropriately and professionally to queries by members of the public, referring or escalating to others as appropriate.

Participate in promotional activity and recruitment.

To meet and greet visitors and deal with the request where possible or direct the person accordingly.

Be able to demonstrate the processes and procedures and explain them to new staff.

Support colleagues and share knowledge.

Participate fully in team/departmental, meetings and activities.

To recommend suggestions for improvement to current intranet content, processes and procedures.

To be involved in the service development and streamlining of processes and procedures.

To carry out any duties as required with regard to providing a flexible service to the recruitment team in agreement with the Resourcing Manager.

Actively participate in the performance development review process, identifying own development needs and seeking out to enhance personal performance.

Comply with all relevant training requirements.
