Job summary

To manage the Urgent Appointment Team, ensuring the provision of an efficient and effective booking service in accordance with National Cancer Waiting Times Guidance and local Trust policies and procedures.

Main duties of the job

Main Duties and Responsibilities

To communicate information with patients, relatives or staff on a variety of departmental matters.

To communicate complicated administrative information to staff from other departments, external contacts.

To communicate complex, sensitive, contentious information with a range of stakeholders, where persuasion or negotiation is required

To exercise judgements when dealing with enquiries and to analyses information to resolve problems

May need to communicate with patients, but on non-clinical matters (i.e. appointment times, provide directions or explain local procedures).

T To manage a team's performance or to provide training to others in own discipline (i.e. policies/processes or IT systems)

To develop databases/spreadsheets, to collate or produce reports on a regular basis.

To input data onto relevant systems, required to store and retrieve information or to collate and report data.

Optimise the use of technology for area of own work.

Job description

Job responsibilities

The post holder will be required to will work as a key member of the team within the department to manage operational issues, taking independent action when necessary including;

a. Recruitment and retention of staff

b. Undertaking annual appraisals

c. Management of sickness

d. Management of annual leave

e. Ongoing review of resources to ensure work is covered at all times

The post holder will work without supervision and manage own workload and that of the Urgent Appointment Team, ensuring that all referrals are managed in accordance with national and local guidelines and that appointments are booked within standard and non-attendance managed appropriately.

The post holder will be responsible for the validation of patients on a cancer waits pathway, ensuring that first appointment adjustments are accurately recorded and all information is correct on the system prior to monthly cancer waits submission.

The post holder will be required to deal with enquiries from GPs, patients, clinicians and other staff groups across the organisation regarding the Urgent Appointment Team.

Qualifications

Essential

  • Educated to GCSE including English and Maths or equivalent
  • Educated to level of NVQ Level 3 Business Administration / diploma or equivalent level of experience requiring on going on-the job training

Knowledge, Behaviours and Experience

Essential

  • Significant office experience
  • Experience of working in the NHS
  • Computer literacy (eg Microsoft packages - Excel, Word, Powerpoint)
  • Confidentiality / Handling Sensitive data

Desirable

  • Good working knowledge of NHS systems (E Referrals, Health Roster, Clinical Portal, Careflow)

Skills

Essential

  • Able to communicate at various levels of staff
  • Demonstrate good verbal and written skills
  • Excellent communicator both face to face and on the telephone / teams calls
  • Ability to prioritise workload, and plan and organise own time effectively, high standard of time management skills

Desirable

  • Experience of communication at patient level
  • In depth understanding of national cancer targets
  • Leadership and team building skills
