Job summary

Goods Receiving and Distribution Officer (Supplies)

Responsible for the correct receipt of goods into the site and organizing their delivery to user departments.This service is provided to all NHS Trusts on all sites.

Undertake goods receipting, organize goods for distribution by facilities management portering staff, undertake distribution where required and provide support to the Ward Inventory Control service with the checking and putting away of goods at ward level where required. Also picking internal requisitions from a bulk store, using inventory systems and issuing stock. Each of the Goods Receipt & Distribution Officer staff will have a nominated base but are required to work on other PPS sites these include Moorfields, Royal Free, Barnet , Chase farm and the Whittington Hospital., depending on the needs of the service.

COMMUNICATION AND RELATIONSHIP SKILLS

1.1.1 Direct deliveries to the correct delivery point.

1.1.2 Routinely provide and receive information relating to orders, deliveries, discrepancies and action as necessary.

1.1.3 Maintain effective communications with other members of the team to ensure a smooth and efficient working environment.

1.1.4 Responsible for the identification and segregation of items that require P.A.T. testing. Ensure third party contractor carries out testing promptly and arrange onward delivery.

1.1.5 Responsible for identification and segregation of medical equipment that requires testing by E.B.M.E./M.E.S. Ensure that E.B.M.E./M.E.S. receive the goods promptly and arrange onward delivery as appropriate.

1.1.6 Work with the Receipt and Distribution Supervisor to provide a flexible receipt and delivery service that meets the requirements of the end users.

1.2 KNOWLEDGE, TRAINING AND EXPERIENCE

1.2.1 Responsible for completing mandatory, statutory and other appropriate training

as identified and agreed with the Deputy Logistics manager .

1.2.2 Responsible for working with the Deputy Logistics Manager to produce and

follow a Personal development plan in order to enhance existing skills, develop new

skills that may be required or expand on existing working knowledge.

1.3 ANALYTICAL AND JUDGEMENT SKILLS

1.3.1 To understand the limitations and authority of the post and to refer to the

Deputy Logistics Manager as necessary.

1.3.2 Resolve delivery issues, such as outstanding orders, discrepancies and

damaged goods, keeping the appropriate persons informed and reporting any

unresolved issues to the Deputy Logistics Manager.

1.3.3 Reconciliation of orders with deliveries/returns.

1.3.4 Priorities urgent deliveries, referring any concerns immediately to the Deputy

Logistics Manager.

1.3.5 Identify any goods requiring special treatment and act accordingly e.g.

refrigeration.

1.3.6 Collate and forward daily load delivery and acceptance documenting appropriately

1.3.7 Process and pick items from Medical stores deciding on what may or may not be appropriate to Issue from stock, then using inventory system to issues to department.

1.4 PLANNING AND ORGANISATIONAL SKILLS

1.4.1 Organize and priorities own day-to-day work tasks or activities and priorities onward deliveries for distribution by appropriate staff.

1.4.2 Plan and organize routine tasks.

1.4.3 Ensure that the delivery bay is not obstructed, arranging for any obstructions to be moved if necessary.

1.5 PHYSICAL SKILLS

1.5.1 Use of V.D.U. and keyboard.

1.5.2 Manipulation of trolleys, cages, pallets etc.

1.5.3 Moving and handling goods within the stores environment, around the hospital site and within wards and departments in a safe and secure manner that does not pose a risk to yourself or others.
