Bariatric Support Secretary

Job summary

To provide a specialised, comprehensive and confidential patient centred clinical administration and secretarial service to Consultants and their teams in accordance with Departmental, Trust and National standards, policies and procedures. To act as a source of advice and guidance regarding the specialism.

Main duties of the job

  1. Act as the first point of contact for dealing with enquiries and take appropriate action as necessary liaising with others as appropriate. Be responsible for providing and receiving complex and sensitive information.
  2. Reviews the communication systems for staff, patients and/or external sources using appropriate communicative tools
  3. Responsible for implementing and maintaining both manual and electronic filing systems and databases as required by the department, ensuring all documents are accurately and appropriately archived.
  4. To be involved and provide suggestions/support with any changes within their own work area.
  5. Assist with training new team members in operational trust systems and department procedures.
  6. Process referrals to the department including generating waiting lists, booking and coordinating of appointment or procedures and coding of activity.

Job description

Job responsibilities

  • Attending Bariatric MDT and assisting the Bariatric Coordinator in relaying actions to relevant teams/individuals.
  • Ensuring all clinical events are cashed up in an appropriate time scale with appropriate outcomes (e.g. discharge or follow up appointments made).
  • Undertaking filing, photocopying, and scanning as necessary, ensuring all documents are accurately and appropriately archived.
  • Prioritising daily tasks to achieve set timescales.
  • Coordinate special arrangements for patients (e.g. porters, interpreters and ambulance transport).
  • Provide appropriate cover in the absence of other members of the team (e.g. minute taking). Predominately to Bariatric/UGI and HPB service (for support secretary cover).
  • Assist with complaints and compliments within the department, dealing with them accordingly and in line with Trust Policy.
  • Collate, input and monitor department documentation and information to assist with the production of monthly reports for the department.
  • Administrative duties as requested by the secretary to the bariatric service and or admin manager and or senior members of the department.
  • Support with the Upper GI team to support medical secretaries with queries from the Upper GI team.
