Job summary

We have an exciting opportunity for an enthusiastic and highly motivated individual to lead our Voluntary Services team of over 700 volunteers across our two sites at University Hospital Coventry and the Hospital of St Cross, Rugby and within the community.

As the Voluntary Services Manager you will be a highly motivated individual with a passion for improvement and innovation. Reporting to the Associate Director - Chaplaincy, Bereavement, Compassionate Communities and Volunteer Services you will be responsible for developing and delivering on the strategic priorities of the Volunteer Service.

The post holder will need to have previous experience of managing volunteers, be a highly visible and credible manager and have strong leadership qualities. A focus on ensuring the development and provision of a comprehensive, high quality, Volunteer Service. The candidate will need to have excellent interpersonal skills allowing them to work closely with colleagues across the Trust.

*This role require successful candidate to work on site and Cross site travel is essential part of this role*

Main duties of the job

  • To help develop and deliver a volunteer strategy which embraces the Trust strategy, values, addresses inclusivity, reduces inequality and reflects our local community.
  • To develop and promote voluntary services across our sites and in the community ensuring a quality service is delivered and helps to reduce winter pressures, increase patient flow and improve the patient experience.
  • To effectively manage, project lead, organise an effective Volunteer Service ensuring service to meet Trust-wide and national objectives.Ensure Volunteer Services are compliant with Trust policies and procedures.
  • Ensure all Volunteer Services including external organisations are compliant with Trust policies and procedures and NHS Employment Standards.To be responsive, flexible and adaptable to meet the needs of a constantly evolving service.

Job responsibilities

  • Develop, promote, organise and manage Voluntary Services across the organisation.
  • Day to day management of the Voluntary Services including conducting Personal Development Reviews for Volunteer Co-ordinators and Voluntary Services Administrator.
  • Welcoming potential volunteers and following agreed recruitment processes, completing checks and interviews within an agreed timeframe.
  • Advertise, recruit to and manage all volunteer applications, ensuring the Trust Volunteer Involvement Policy is reviewed and adhered to.
  • Work proactively with staff to identify services, staff and patients that would benefit from enhanced support from volunteers and identify new and innovative volunteering opportunities.
  • Be a point of contact for volunteers should they have any queries, comments or concerns about volunteering.
  • Dealing with conduct/performance/grievance issues, dealing with complaints.
  • To liaise with Workforce Department regarding performance issues, conduct or a complaint about a volunteer. Meet with the volunteer to discuss the way forward and if need be either move the volunteer to another area under supervision, suspend or if appropriate ask the volunteer to leave.
  • Develop and maintain a system of communication between the Trust and our volunteers so that we can share Trust updates and news, information about training and development, volunteer business and opportunities etc.
  • Design and develop a system for gathering feedback from volunteers at regular intervals and use this feedback to further develop volunteering strategic plans. Oversee volunteer support meetings.
  • Arrange promotion of volunteering both within the Trust and the local community i.e. through attendance at open days/events at schools, colleges and universities. As well as work effectively with the leads from the other volunteer organisations within the Trust and external links.
  • Authorised signatory to sign off volunteer expenses and purchases of goods.
  • Management of the current Volunteer Database and Recruitment Tracker and support the Associate Director Chaplaincy, Bereavement, Compassionate Communities and Volunteer Services with the implementation of a new Volunteer Management.
