We are looking for a Project Implementation Assistant (PIA) to join our team. As a PIA, you will support staff through the changes that the introduction of new clinical systems and associated processes bring. The role involves delivering face to face and virtual training, producing training materials and e-learning packages, system testing, supporting staff on the wards and experiencing the rewards of the Go Live period, when out of hours (including weekend) support will be necessary.

  • comfortable with project work, where no two days are the same and you will experience very busy times as well as calmer periods

Main duties of the job

Project Implementation Assistants (PIAs) are members of the Digital Transformation Team, which includes Business Change, Clinical Change and Clinical Systems Training. These teams work closely together, alongside colleagues in the broader IM&T service, to ensure new systems are successfully introduced, implemented and embedded.

PIAs provide high-quality training for numerous clinical and administrative IT systems and support staff through the changes that the introduction of new systems and their associated processes bring. These IT systems improve ways of accessing and recording patient information to help clinical staff fulfil their role and consequently improve patient care.

About us

The Digital Transformation Team works hard to help implement new clinical IT systems in the hospital. These systems reduce the need for paper notes and help make patient care safer and more efficient. Current projects include the electronic prescribing and recording of medicine administrations, a new and improved patient management system in the Emergency Department and a system to record patient observations electronically throughout the hospital.

Preference will be given to internal Trust staff, as well as 'Priority' and 'At Risk' status including NHS at Risk staff throughout Devon who is able to display recent relevant experience as dictated by the Person Specification.

Primary Duties & Areas of Responsibility

  1. Support the provision and delivery of high quality, effective training in multiple NHS Clinical System programmes, both in dedicated training rooms and at other Plymouth health community locations. This will involve a flexible approach to working days/times, in order to meet the needs of out of hours end-users and to meet the deadlines imposed on implementing large-scale IT projects, including early, late and weekend shifts

  1. Train staff using a blended learning approach, e.g. face-to-face training as well as the use of manuals, videos, online guidance and e-learning

  1. Provide first-line and floor walking support to the end-user following their training, via remote and in-person support, email or telephone advice

  1. Solve low level IT issues for staff at the point of use e.g. carrying out basic checks on the hardware such as checking everything is plugged in correctly, ensuring staff can access required applications, showing staff how to access internal self-help tools

  1. Liaise and collaborate with relevant teams within IM&T and other key stakeholders, in order to gain knowledge and understanding of the systems being supported in their implementation and their associated working practices and process improvement

  1. Produce e-learning using Adobe Captivate and Articulate, training manuals, online guidance, and other materials and aids, in conjunction with the Clinical Systems Training Team

  1. Guide and assist the Training Administrator in administrative activities to include scheduling and booking of training as required, to support newly implemented systems

  1. Assist in maintaining training records in the Oracle Learning Management (OLM) system used within Training Administration, to schedule courses, book delegates and outcome training

  1. Support the testing of new and upgraded clinical systems, following defined test scripts to record test outcomes

  1. Produce Lesson Plans and exercises, to achieve the effective delivery of training
