Main duties of the job

The main duties of the job are to support the Medical Records Manager:

  • Day to day supervision of staff and to ensure that all teams are supported to locating, preparing and providing case notes for Outpatients clinics.
  • Recruitment and selection of new staff
  • Ensure induction and training of staff in liaison with departmental leadership team
  • Reporting of sickness absence and completion of back to work interviews
  • Prepare and adapt staff rotas

Person Specification

Knowledge

Essential

  • Computer literate, experience of using a keyboard plus skills equivalent to RSA II.
  • Knowledge of NHS patient based systems especially PAS.
  • Knowledge of all departmental policies and procedures including police, confidentiality and GDPR.
  • Good understanding and knowledge of current NHS policies and procedures and current initiatives such as 18 weeks etc.
  • Ability to use Microsoft Office package.
  • Knowledge of how to deal with a range of non routine activities such as work allocation.
  • Problem solves for the team as well as answering queries and progress chasing.
  • Ability to develop new and additional processes for the team to meet the ever changing OPD environment/Case notes environment

Qualifications

Essential

  • Good general education including English GCSE at grade C or above (or equivalent)
  • IHRIM certificate or equivalent level of experience

Desirable

  • IHRIM
  • Microsoft packages

Further Training

Essential

  • Ability to train staff and competency sign off procedure.

Desirable

  • Completion of supervisor's course

Experience

  • Experience of working in Case Notes Store essential.
  • Significant experience of supervising, clerical work Careflow, ePR and Health Roster.

Desirable

  • Experience of working in an admissions department case notes file and outpatients/clinic prep
