Job summary
This is an exciting opportunity to become part of a small team of administrative staff working in Acute Medicine. The role is part time with 20-24 hours per week available over a minimum of 3 days.
Working as part of a small team you will support the provision of a comprehensive, high quality secretarial and administrative service in general to the Acute Medical team.
Duties will primarily include: Preparing a wide range of routine letters and typing referrals to inter departments and other hospitals. Taking accurate minutes and distributing accordingly. Responding to telephone queries. Working with other administrators/secretaries to provide an effective network of communication. Assisting with and managing the diaries of the Consultants.
You will need to be an enthusiastic and conscientious team player. You will be able to work under pressure, have excellent written and verbal skills, excellent planning, time management and organisational skills , as well as being an innovative thinker and always will being out forward ideas knowing that you are part of a forward thinking team. You will be able to prioritise your workload throughout the day.
Main duties of the job
- Assist with and managing the diaries of the Consultants within the team.
- Ordering and maintenance of stocks.
- Notification of maintenance repair requests and associated liaison with Estates Department.
- Support the Department meetings.
- Facilitate and co-ordinate study days, educational events/ training and seminars for internal and external candidates.
- Compilation of reports as required.
- Provide a communicative link within Acute Medicine, patients and GPs
- Assist by typing of results letters, ward discharges and GP communication in a timely manner.
- Concise and appropriate typing of reports i.e.: Clinical Incidents and complaints ensuring that all time scales are met.
- Responsible for ensuring all filing is completed in a prompt and timely manner.
