An exciting opportunity has arisen for a 12 month fixed term/ or secondment contract supporting the delivery of the Connected Nottinghamshire Programme.
The Admin Support Officer will provide day to day programme support to Connected Nottinghamshire Senior Managers and the Programme team, acting as first point of contact for any enquiries. The post holder will be a pivotal member of the team, providing key administration activities to support the effective delivery of the programme and locally developed systems within Nottinghamshire's Health Community.
Supporting the PMO by contributing to the development of project documentation and reporting, the successful candidate will have excellent typing skills.
The successful candidate will be responsible for coordinating regular meetings and appointments as requested. Diary management and the ability to prioritise tasks in order to meet deadlines will be essential, ensuring that regular commitments are scheduled and any action or progress is advised to the relevant member of staff.
Engaging with the wider stakeholder group the Admin Support Officer will organise and support at events by undertaking administrative tasks relating to venue booking, supporting presenters, liaising with attendees and developing information packs.
Main duties of the job
- To provide a comprehensive administrative and secretarial support service to the Connected Nottinghamshire Senior Managers and the Programme team.
- To coordinate regular meetings, providing timely notification of meetings, taking minutes, producing clear typescript and distributing minutes and attached papers.
- To store information relating to minutes and other documentation within the project configuration library.
- Receive telephone enquiries, undertake appropriate action as required, record and inform all staff of messages received and undertake follow-up action as requested in order to ensure effective communications.
- Co-ordinate and schedule appointments as requested, ensuring that regular commitments are scheduled, and advising the relevant member of staff of action/progress.
- Record and monitor purchasing records.
- Record and monitor received invoice records.
- Ensure that sufficient stocks of stationery and supplies are maintained, and that all equipment is appropriately maintained and recorded within the relevant inventory.
- Organise and support Connected Nottinghamshire events by undertaking administrative tasks relating to venue booking, supporting presenters, liaising with attendees and developing information packs.
- Provide administrative cover during sickness and annual leave for other admin support staff working at other bases within Nottinghamshire.
- To undertake any other duties which may be reasonably required in accordance with the level of the post.
