Job summary

Band 3 Junior Medical Secretary/Pathway co-ordinator -33 hours per week - Fixed term contract until 14th June 2024

King's College Hospital NHS Foundation Trust is looking for an enthusiastic Junior Medical Secretary/ Patient Pathway coordinator to join the Cardiology Department based at Central Court and Princess Royal University Hospital site.

The post offers an opportunity for an enthusiastic and conscientious individual to be a part of a busy team. The work involves processing clinic letters, booking appointments, you will be dealing with incoming queries and day-to-day administrative duties. The post requires a good understanding of the 18 week RTT process and knowledge of the Trust Access Policy.

The post holder should have an excellent telephone manner with strong problem solving skills has the ability to take clear messages and perform general office duties. The successful candidate will have a good general education with the equivalent of GCSE in English at Grade A-C (or equivalent work based experience). They will become part of a small team playing an instrumental part in the smooth running of the department; therefore a positive attitude and flexibility is essential. Main duties of the job

  • To provide full secretarial support service to the Clinicians including processing of clinical letters and reports.
  • To ensure all patient demographic details (address, postcode, GP & Ethnic Group) are checked and any amendments/corrections are carried out in an accurate and timely fashion.
  • To support the medical secretaries in ensuring that all clinical letters are processed and sent to the GP within 5 working days.

Job responsibilities

  • With appropriate training and supervision to act as the first point of contact for users of the Trust, dealing with telephone calls and enquiries promptly and efficiently, providing immediate response and referring as necessary. These will include personal enquiries from patients and their relatives, as well as calls from GPs, clinicians, students, nursing and administrative staff, at all times understanding the sensitive nature of calls.
  • To organise the opening, stamping and sorting of post.
  • To initiate, where appropriate, finding the medical records in order for the clinician/s to prepare a reply to correspondence/enquiries.
  • To keep a record of all movement of patient notes within the PIMS system.
  • To liaise, as required, with your Care Groups admissions office to ensure the smooth operation of any patients admission.
  • Use of variety of ICT programmes including Cubescribe, PIMS, Apex and the clinical portal/EPR.
  • Cancellation of clinics when required, contacting patients and reorganising, booking and rescheduling patients appointments.
  • Processing letters in the in box and printing verified letters, checking future appointments and diagnostics are booked.
  • Supporting secretaries workloads during periods of leave/sickness.
