Job summary

The Team Supervisor will be responsible for ensuring a high standard of clerical support is provided to the outpatient clinics held within the Surgical Outpatient clinic.

The post holder will be responsible for supervising the clinic clerks/receptionists on a daily basis ensuring all clinics are prepared correctly and run efficiently and effectively. The post holder will work closely with the Assistant Service Delivery Manager to improve upon and develop, all aspects of the service including meeting and maintaining quality targets for the department. The post holder will use his/her previous experience and knowledge to prioritise the clerical team's workload and lead the clerk/receptionist teams.

Main duties of the job

To support the Clinic Manager in providing a high quality and patient focused service.

To prioritise own workload and use initiative to lead the clerical team, working as part of the team in providing support and cover during periods of annual leave and sickness.

To supervise the clerical staff ensuring that workload is distributed evenly across all areas, liaising with the Clinic Manager when staffing issues arise.

To weekly prepare and sit a designated clinic. Spot check that AM/PM are clinics prepared in accordance with Prep SOP by clerical staff on the daily basis.

Job responsibilities

To ensure the correct use of PIMS/EPR/eRS/In-Touch and other departmental databases by the clerical staff, ensuring accurate data is entered and clinics are cashed up correctly.

In the absence of the Assistant Service Delivery Manager to be responsible for ensuring clinic profiles are adjusted in line with Clinical Staff availability and to ensure the clerical service is run with minimal disruption.

To supervise and organise the preparation of notes for all clinics ensuring all investigations and correspondence and results are available and filed correctly in patient notes.

To deal with all enquiries from staff, patients and visitors in a friendly and courteous manner, referring to other staff when appropriate.

To have the ability to work under pressure, maintaining a calm and reassuring attitude.

To have a flexible approach to work with the ability to cope with changes in the workplace.

To be responsible for regular collection of data and information including quality statistics.

To work alongside the Assistant Service Delivery Manager to ensure smooth running of outpatient clinics.

To ensure the completion of2WW and 18 week referral to treat outcomes.

To identify patients who may not be eligible for treatment and to liaise with the Assistant Service Delivery Manager/Overseas Team.

To always be aware of and participate in continuous improvements/changes required to provide a quality service.

To ensure clinical coding is performed in timely manner.

To lead on the induction and training of all new clerical staff and to undertake regular new staff assessments in line with LEAP.

Ability to minute meetings.

Any other duties commensurate with the banding as requested by the Assistant Service Delivery Manager.
