Job summary

The post holder will work within a team conducting the business of the Estates Helpdesk quietly, calmly and efficiently; communicating effectively with patients, clinical staff, medical visitors, contractors, engineers and staff to promote the best environment for the efficient running of the department.

Ensure the accurate recording of data relating to work requests from Planet FM our Facilities Management Software.

Main duties of the job

  1. To work on the Estates Helpdesk, answering and logging calls, dealing with any queries. Help callers and colleagues by dealing with telephone, intranet, email and face to face enquiries in a professional, constructive and sympathetic manner, logging information and referring to the appropriate person as and when necessary.
  2. Enter Work Request information provided by the Estates Craftsman, Estates officers and External Contractors into Planet, the Facilities Management System.
  3. To log, issue and close Calls & Work Order on Planet FM System.

Job responsibilities

  6. To liaise with medical, nursing, doctors and consultants and other staff as your role requires.
  7. To liaise with Contractors regarding outstanding work & issuing work to contractors.
  8. To maintain the working data within the Planet FM System; this includes but is not limited to, Location Information, Contractor, and relevant PPM works.
  9. To assist in reporting key departmental performance indicators to both CEF Service Manager and other Divisions.
  10. To assist the Service Manager with the training new members of staff within the department, as well as producing and issuing relevant job information
  11. To participate in team meetings as required by your Line Manager.
  12. To undertake any other duties appropriate to the grade, which may be required from time to time.
