Job summary

Bollington, Disley, Poynton Team in East Cheshire NHS Trust is looking for an experienced, highly organized and detail-oriented Administrative and Secretarial role to support our integrated community nursing and therapy care community teams .

The ideal candidate will have excellent communication skills, strong organizational abilities, and proficiency in various IT skills and computer software programs. As an Administrative Support, you will play a crucial role in ensuring the smoothday-to-day operational functions of the integrated community nursing and therapy teams and undertake any office duties to ensure the efficiency of the administrative service is maintained at all times.

The role entails closer working relationships with colleagues in Primary Care and Social Services as part of the ambitions for the integrated Care Communities.

Hours per week: 37.5

Main duties of the job

To take nursing and therapy referrals and messages ensuring they are logged on the system and passed on to the appropriate clinician in line with indicative urgency.

To liaise with patients and their carers, relatives, and any other agencies as appropriate, maintaining confidentiality and treating all situations with sensitivity and tact.

Undertake routine clerical duties such as distributing and despatching mail, photocopying, typing tasks and responding to emails.

To act as a point of contact for staff reporting sickness absence, inputting onto the ESR/E-Roster systems and ensuring staff have contacted the absence reporting line, escalating to Team Leaders/Triager if required.

To arrange staff return to work interviews and staff sickness meetings, sending and typing letters as directed by the Team Leaders and filing accurately into staff personal files.

Manage staff training matrix advising of completion dates needed to meet clinical and trust targets and booking training for staff.

To co-ordinate and maintain up to date E-Roster/EMIS Diary/Rota Systems

To be proficient in the use of EMIS Web for inputting referrals, planners and schedules onto the system. To scan the referrals and upload any incoming documentation onto EMIS in a timely manner. To update patient demographics as required.
