Job summary

We are looking for an enthusiastic, proactive and motivated person to join us in delivering a first class, innovative service to support the Senior Management Team.

We would like you to be highly proactive and able to use your own initiative and judgement to help manage the workload in addition to be customer focused. The post holder will need to be able to work in a fast paced environment and the role requires you to have great communication skills and be familiar with the Microsoft Office suite. You will be able to react calmly when dealing with multiple tasks that need to be delivered to tight timeframes.

Hours per week: 37.5

Main duties of the job

Provide a comprehensive confidential PA support service to the Senior Management Team covering diary management, appointments, meetings, events and conferences, dealing with queries and projects and setting up and maintaining databases

Transcription and composing of letters - letters are often of a confidential, sensitive or contentious nature

Have line management responsibility as required for designated secretarial staff, including undertaking of trust appraisals, sickness and absence procedures etc

Approve leave for designated secretarial staff ensuring that the needs of the service are covered and the wider implications for the directorate are taken in to consideration.

Handling incoming/outgoing mail, distributing all routine correspondence. The post holder is also responsible for flagging up any urgent post/emails, taking any necessary action in the absence of the Senior Management Team

Diary Management - use of electronic diary, ensuring diaries are free from clashes, ensuring regular meetings are planned well in advance and all papers available in a timely manner to facilitate meetings

  • Good general education including English to "O" level/ CSE/ GCSE
  • RSA II/III or equivalent

Desirable

  • Degree
  • NVQ in administration

Experience

  • Ideal candidates would have 3 years previous PA experience, but exceptional candidates with less experience will be considered
  • Experience of good level of minute taking and servicing meetings
  • Experience of working in a large and complex organisation
