Job summary

The Administration Support Manager will form part of a very busy administrative and secretarial team supporting the Estates, Facilities & PFI Divisional Management office. The Estates, Facilities & PFI Division provides essential non clinical support services to the Trust including Estates, Facilities Management, Supplies & Procurement, Sustainability and PFI Contract Performance Management and Divisional projects as required.

The post holder will be a highly motivated, enthusiastic individual with excellent written and verbal communication skills with a positive attitude and flexible approach. The post holder will be keen to develop their knowledge and skills to meet this busy and demanding role.

The successful applicant will have excellent IT skills with typing/word processing qualifications to RSA level 4 or NVQ level 4 or equivalent relevant experience as well as 3 GCSE's or equivalent.

Previous experience of working in an administrative/clerical role is essential as well as experience of using the NHS ESR, Captor, payroll and Integra systems and databases plus excel and word.

Excellent organisational skills will be required in order to prioritise a busy workload in a demanding office and the ability to cope under pressure is a must. The post holder will typically be required to carry out duties such as administrate contracts, labour management systems and recharging / invoicing of clients.

Main duties of the job

The post holder's prime responsibility will be to provide a fully comprehensive administrative support service for the Estates Operations Team and also provide support across the Division when required.

The post holder will manage the labour management system for recharge of works through either the Measured Term contracts or against direct labour, support the hard FM PFI contract variations process and small works process and other systems as required. Ensure invoices are logged, processed and GRN'd in accordance with the Trust's terms and conditions. Liaise with suppliers and contractors to ensure services are delivered in accordance with contracts established. Establish and manage a system of ensuring works contracts are set up and operated effectively across the Division.

The post holder will be required to lead on providing administrative support to specific projects to support the Division as required and to support NHS Plan initiatives.
