Job summary

Role Summary

  • To work as part of the HR Employment Relations Team, providing a first point of contact Administrative Support Service to Trust managers through the development of communications, toolkits and the intranet / internet,, ensuring that the HR operational function delivers a customer focused, responsive and quality service. This will include the communication of sensitive and confidential information to / between parties.
  • Provide general administrative support for the corporate Employee Relations service including filing, photocopying, collation of information, maintaining files and tracker / monitoring documents, mail merge and distribution, preparation of training materials, organising room bookings for meetings, diary management and any other appropriate duties.
  • The postholder will be supervised by the HR Support Officer working within Trust policies, procedures and guidelines in order to follow best practice. The post holder is expected to use their initiative and work independently within these guidelines however matters can be referred when required. Escalate issues as appropriate.

Main duties of the job

Develop & maintain the HR intranet/internet information website, ensuring this offers a signposting & info service to customers. Act as a point of contact using comms, toolkits & the intranet/internet, to reduce telephone, face to face & email queries. Contribute to change & offer proposals regarding the continuous improvement of the operational service. Contribute to review of HR policies & procedures.

Responsible for supporting HR Advisors in operating & maintaining an effective monitoring system in relation to case work & employment status, including the distribution of info to operational managers/divisional HR teams for action. Provide support in relation to casework. This may include organising formal grievance, disciplinary & final stage sickness absence meetings; booking of meeting rooms, distribution of letters, preparing & distributing all associated paperwork in accordance with the timeframes identified in the Trust's procedures.

Monitoring & providing an initial point of contact through the intranet/internet for managers with regard to sickness absence management as per policy. Provide administration support to the transformation agenda which includes supporting management of change processes; ensuring comprehensive project admin support, acting as first point of contact for organisational change enquiries, creation & maintenance of a wide range of project management documents (in word, excel & PowerPoint).
