Job summary
We are seeking a dedicated and highly organised Personal Assistant to join the Executive Suite team, with responsibility for supporting our Medical Director. The ideal candidate will play an important role in ensuring the efficient operation of the Executive Suite, providing a full administrative service to meetings as well as dealing with queries coming into the Medical Directors office, working in a 'buddy' system with other Personal Assistants, to ensure cover is provided at all times.
Main duties of the job
- Manage diaries ensuring urgent priorities are met and appropriate times made available during the week to meet commitments.
- Responsibility for planning and organising their own time, managing filing systems and the planning of conferences/workshops/events.
- Responsibility for handling telephone and other communications with sensitivity and confidentiality using personal judgement and acquired knowledge to assess each situation and to deal with accordingly.
- Ensure systems are in place to deliver a high standard of communications to build and maintain good working relationships.
- Responsibility for collating agendas and papers for meetings and to take and transcribe comprehensive minutes, ensuring they are prepared and distributed in a timely manner.
- Monitor the in-box of the Executive Director, highlighting as appropriate deadlines for action and/or response.
- Screen requests for meetings/discussions ensuring appointments complement the current priorities.
