Secondment opportunity!
The post holder is required to provide a full and comprehensive administrative service to the Safeguarding Adults/ Vulnerable Patients Team.
This will involve the taking and preparing of comprehensive minutes and the collation and timely distribution of papers. Liaison with other departments and external organisations will be required by the post holder.
Ensure Deprivation of Liberty Safeguards (DoLS) database is up to date and accurate by liaising with wards/departments to establish current state of authorisation. Inform CQC when DoLS are authorised.
To provide general clerical/administrative support to the Safeguarding Adults/ Vulnerable Patient Team including: Typing/photocopying/arranging meetings/maintain diary of Lead Safeguarding Nurse & Matron for Vulnerable Patients/collate statistical information.
Main duties of the job
- The post holder will be required to use their own initiative on a daily basis and will also be required to deal with queries on behalf of the Safeguarding Adults/ Vulnerable Patients Team.
- The post holder will be expected to participate in a 'buddy' system working with other secretaries / administrators within the Nursing Department to ensure that administration cover is provided at all times including cover for annual leave/sickness etc.
- This includes covering the minute taking duties of other secretaries where necessary.
- The post holder will be able to exchange confidential, sensitive or contentious information with others, requiring tact and diplomacy, where persuasive skills may be required. There is also a requirement to communicate complicated information to other departments and external contacts.
- Responsibility for handling telephone and other communications with sensitivity and confidentiality using personal judgment and acquired knowledge to assess each situation and to deal with accordingly.
- To ensure systems are in place to deliver a high standard of communications to build and maintain good working relationships.
- To liaise with Social Workers, external agencies and representatives as appropriate in matters relating to the clerical/administrative processes of the Safeguarding Adults/ Vulnerable Patient Team.
- Ensure all training is uploaded onto ESR and that the training database is accurate and up to date
