Job summary

We have an exciting opportunity for an administration assistant to join the Pre-Operative Clinic Team who deliver high quality, holistic nursing care to elective patients.

You must have relevant qualifications and proven IT skills. You will have the ability and confidence to cope with the demands and pressures of a busy working environment whilst being highly motivated and flexible.

The role of POAC Administrator encompasses a wide range of experience and knowledge of clinical, organisational and administrative duties. It is instrumental to the seamless, efficient, and effective running of the unit. It covers clinical duties from providing patient information to clinical reporting of results and recognising safeguarding and well-being needs, in order to ensure patients' safety for surgery.

The role supports the day to day organisation of the clinic to provide an efficient service. It involves considerable administrative duties, as well as supporting the service clinically where required. It necessitates excellent communication and interpersonal skills as the POAC Administrator networks with a range of different departments and staff, both within the Trust and in conjunction with outside agencies.

To accurately and promptly carry out the instructions of the registered professional who is professionally accountable for the delivery of care.

To carry out duties as specified within the Trusts approved core task list for Clinical Support Workers/Health Care Assistants

To report to the registered professional any patient who gives cause for concern or any observed changes/abnormalities in the client or patients condition/results.

Provide and deliver a high standard of individualised care under the direction and supervision of the registered professional.

To assist in the preparation of patients for treatment, investigations or procedures as directed by the registered professional.

Identification of abnormalities using diagnostic knowledge and acting on results, organising treatments for patients in timely manner in order to meet deadlines of admission with follow up or referrals to senior staff.

Provide auditable date on theatre cancellation and patient information via electronic systems.

Referrals of positive test results to relevant bodies.

Act independently to urgent patient needs and organisation of treatments.

Organising and supporting nurses in a timely & safe management of patient queries, follow ups and to ensure action is taken in sufficient time for admission.

Plan daily and organise POA Clinic patients, paperwork and staffing levels to ensure efficient service throughout the booked admission process.

To contribute to the planning and implementation of change in the management and administration of elective admissions.

Be integral to planning and implementation of changes within of POAC to maintain service improvements and monitor changes made.

Action Health Screening MRSA positive results and organise decolonisation treatment plans.

Communications and Interpersonal Relationships

Welcome patients, relatives and visitors to the clinical area, providing assistance, support and information where required. Being aware of barriers to effective communication.

Always introduce yourself in line with the Trusts privacy and dignity promises and the principles of good customer service.

To answer the telephone when necessary in a polite, courteous manner and pass on enquiries to the registered professional where required

Communicate effectively within the multi-disciplinary team to ensure that patient care is well planned and coordinated.

Maintain effective working relationships with individuals within the POAC, other officers of the Trust and customers to ensure the delivery of a professional service, focusing on achieving a high level of customer satisfaction.

To inform relevant departments of postponements and monitor date changes.

To provide a comprehensive support network for the relevant departments.

Adhere to patient confidentiality.

Administrative

Plan, organise and prioritise complex systems requiring formulation, adjustment and change autonomously. (Training will be provided).

Provide accurate figures on Clinic movement and using relevant data for service improvements.

Use Administration systems: outpatient clinical systems, case note procedures, Booked Admission procedures, statistical evidencing, E Roster and daily maintain this after making decisions on clinic staffing levels. (Training will be provided).

To work as part of the POAC Team, contributing to providing a full administrative and organisational service.

Able to undertake duties, including prolonged periods of working at a PC workstation working on a VDU and constant use of telephone.

Must be able to concentrate for long periods with frequent interruptions.

Manage the Booked Elective Patient Admission process in relation to POAC.

Provide auditable data on theatre cancellation and patient information via electronic system.

Provide a full range of secretarial and administrative support to the department.
