Job summary

An exciting opportunity has arisen for a Volunteer Coordinator to join the Volunteer Services team at South Warwickshire University NHS Foundation Trust.

We are looking for an enthusiastic and proactive individual who is passionate about volunteer management and who will take responsibility for leading and coordinating the Volunteer Service at Leamington Spa Hospital and provide support to all sites across the Trust.

We are also looking for someone with strong writing skills who can create regular content for our channels-internal, external and social. The post holder will play a key role in showcasing volunteering, creating good news stories and promoting volunteering opportunities to help raise the profile of volunteering across the Trust and in the community.

The post holder will work with wards and departments to support the development of volunteering roles to ensure opportunities are maximised and the demand for volunteers is met.

The post holder will work to ensure that Volunteer Services are well integrated within a multidisciplinary workforce, working closely with colleagues and stakeholders to promote, develop and embed volunteering as an integral service that attracts a diverse range of volunteers and is reflective of the needs of patients, staff and the local community.

We are looking for someone who has strong experience of managing or coordinating volunteering in health or in the voluntary sector, and experience of working in a marketing and communications role.

Main duties of the job

The Volunteer Coordinator will be responsible for coordinating and leading the volunteer recruitment scheme at Leamington Spa Hospital.Working closely with the existing multi-disciplinary therapy team including clinicians and other stakeholders, volunteers actively support a number of group activities and work on a one to one basis with neurorehabilitation patients to provide activities that support and enhance their rehabilitation journey.

The role includes supporting the development of volunteering roles and new activity within Leamington Hospital, interacting with all wards and external organisations to ensure opportunities are maximised and the demand for volunteers is met.

The Volunteer Coordinator will work closely with clinical staff and multi-disciplinary team to identify which patients require a volunteer and will decide which volunteer should be matched with each patient. They will personally visit patients to facilitate this process and will need to be able to deal with distressed and emotional patients. Regular feedback will be provided to the hospital. The post holder will lead and coordinate volunteer activity and engage with new and existing volunteers on a daily basis. The post holder will also provide effective recruitment, training, support and recognition of the team of volunteers at Leamington Hospital. This includes pastoral care of the volunteers and day to day management of the Volunteer Hub.

Provide guidance and information to staff working with volunteers to ensure good working practices are implemented and maintained and that all wards remain volunteer friendly. Collaborate on new patient initiatives that require volunteer support.

Maintain a register of volunteers skills and interests that can be shared with departments/ wards.

Identify the requirements of patients using the scheme by visiting patients in person and continuing the development of an appropriate service reflective of these needs.

Liaise and communicate with staff, carers and families as appropriate,including where there may be barriers to understanding, managingappropriate emotional boundaries and being mindful of cultural sensitivities. This includes providing effective feedback regarding the volunteer scheme and the ways it is engaging with patients.

Assist with the development and oversee the implementation of newvolunteering opportunities which attract a diverse range of people and arereflective of the needs of patients and the local community.

Plan and deliver events, including recruitment and other volunteer relatedevents e.g. National Volunteers Week and the Volunteer Tea Party.

Arrange and facilitate regular meetings with volunteers and maintainregular e-communications, providing encouragement, feedback andpastoral support for volunteers.

Review volunteer role descriptions and ensure effective promotion andrecruitment for all volunteering opportunities at Leamington Hospital.

Arrange and facilitate regular meetings with volunteers, including Reflective Practice sessions and a biannual group meeting which all volunteers are encouraged to attend.

Ensure the patient referral system is maintained to a suitable level. Providevolunteer feedback to the MDT on weekly basis.

Source and purchase resources within financial restraints.

Monitor and control volunteer expenses.

Close liaison with the Lay Chaplaincy team and Chaplains.
