Job summary

The undergraduate medical education team is responsible for managing training programmes for medical students from two universities.

The main focus of this role is to liaise with the universities and Trust education leads to deliver high quality undergraduate medical education programmes within the Trust.

This post will be responsible for organising timetables for students from Warwick Medical School, ensuring students can meet their educational needs, and to act as a first point of contact for queries.

You will need to have good communication skills, a high level of accuracy and attention to detail, and to be able to work as part of the wider team. There will be a requirement to work flexibly during the exam period.

Main duties of the job

To assist the Undergraduate Education team in the provision of Undergraduate services for medical students.

To assist in the development of the course.

Be a point of contact for medical students on a day to day basis escalating matters to other members of the team as appropriate.

Job description

Job responsibilities

Ensuring the provision of full administrative support to the Undergraduate Education team including diary management.

Lead in the co-ordination of the induction programme for Medical Students. This will include:

- Communication with University administration teams, medical students and Trust based staff.

- Creation of Distribution lists (D-Lists).

- Compilation of induction packs including up to date timetables.

- Photocopying.

- Data entry.

- Maintaining accurate records of allocation of car-parking passes, lockers and other equipment.

- Sending reminders and ensuring car-parking passes, lockers and equipment are returned at the appropriate times.

- Uploading of block information to Moodle a web based software package (training will be provided).

Liaison with Consultants, Tutors and Clinical Educational Fellows in the co-ordination of teaching sessions across the MB ChB Course. This will include:

- Room bookings.

- Production of posters and signup sheets.

- Updating the department on-line calendar.

- Ensuring rooms are set-up for courses.

- Producing timetables as appropriate for designated parts of the course.

- Updating medical students with changes to the teaching programme.

- Keeping of accurate records and registers in relation to teaching provided.

Support the Medical Education team in organisation and co-ordination of GMC and Medical School visits.

Assist in the collation of information to assist the Undergraduate Medical Education (Managers in the compilation of reports.

Accurate recording of the mandatory training requirements of the Undergraduate Medical Education department. Including assisting in accessing the training courses.

Assist with the facilitation of Medical School exams. This involves under the direction of the UME Assistant Manager:

- Ensuring that adequate number of Trust staff and Patient Volunteers are made available to support exam processs both from within and outside of the Trust.

- Ensuring all paperwork relating to exams are correct and available.

Accurate recording of examiner training courses attended by Consultants, Tutors and Clinical Education Fellows.

Provision of full administrative service for Undergraduate Medical Education meetings including the production of agendas, papers, taking and transcription of minutes.

Responsibility alongside other members of the team for looking after the buildings and their content ensuring seminar rooms are ready for use.

Ordering and stock control of office stationary and supplies.

Knowledge, Skills and Experience

Experience of working in a busy office environment for at least two years.

Experience of working within a team.

Experience of working with the public.

Advanced working knowledge of Microsoft software including Excel.
